Onboarding Specialist

OtterBase is currently looking for an Onboarding Specialist to join our external onboarding team. This person will be completing administrative, special event and onboarding duties. This is a hybrid position, requiring at least 2 days a week onsite at our HQ office.

Responsibilities:

  • Review new placements in our ATS, checking the required fields, including rate and burden accuracy, and following up on missing information and discrepancies.
  • Onboard external New Hires: Prepare & send offer letters, send E-Onboarding information, troubleshoot errors with the E-Onboarding process, and following up on missing or incorrect on paperwork. Including tax paperwork, background checks and drug testing according to client requirements.
  • Manage the tracking and enrollment of medical, dental and vision benefits. Communicate with accounting department if the client requires a health care invoice per the MSA.
  • Create projects and assign tasks in ATS. Send timesheet instructions to team members and timesheet approval instructions to timesheet approvers.
  • Process terminations, including reviewing end date details email, ensuring data is correct, thorough, and optimal for legal defensibility, following up with Recruiters and Account Managers as needed.
  • Complete employment verifications.
  • Order any necessary office supplies.
  • Prepare New Hire welcome package including laptop set up, ordering keyboard, mouse and bag.
  • Arrange reservations, travel, and catering for events including monthly gatherings and lunches, executive retreats, annual company meetings, and other internal meetings.
  • Provide general administrative/project-based support to the entire company.

Qualifications:

  • Associate's Degree in HR, Communications or related field.
  • Strong attention to detail, written and verbal communication skills.
