As the Home Study (HS) and Post-Release Services (PRS) Onboarding and Compliance Specialist, you will be primarily responsible for guiding the respective programmatic new hire or rehire through a smooth and seamless onboarding experience, while ensuring their successful integration into Bethany. This individual will also be responsible for ensuring that the respective programmatic employee records and files are maintained in accordance with federal, state, and/or local laws and agency best practices, while also ensuring compliance with contract and funder requirements.

The HS/PRS Onboarding and Compliance Specialist will facilitate connections between new employees and Bethany’s organizational structure and best practices, while cultivating a sense of belonging within Bethany through a welcoming onboarding experience. This role collaborates closely with various departments to coordinate resources, conducts new hire orientation and address onboarding timelines. The HS/PRS Onboarding and Compliance Specialist will partner closely with the talent team regarding enhanced background screening needs for the respective programmatic job changes/promotional events that require this protocol. Communication is integral in effectively communicating Bethany’s culture, policies and procedures, the successful candidate must be personable, a team player, organized, and innovative.

This position is expected to function effectively with regular supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements. 

 

ESSENTIAL JOB RESPONSIBILITIES

  • Collect, file, and audit online new hire documents for the respective programmatic employees from hiring managers and employee, while maintaining employee personnel files;
  • Promptly follow-up with hiring managers and new hires for new hire document collection needs and alerting both parties on past due documentation;
  • Provide necessary information and resources such as Orientation Training Schedule, New Hire Resource Guide, to facilitate a successful transition for new employees and ensure a smooth onboarding process;
  • Coordinate and facilitate new hire orientation within the defined procedural timeline, while ensuring collaboration with key collaborators;
  • Coordinate new hire orientation sessions with orientation presenters, keeping them updated on scheduled attendees, along with the schedule;
  • Serve as a point of contact for new hires, addressing their questions in a timely manner;
  • Collaborate with the Onboarding Team, RTPs, hiring managers, and other key collaborators to ensure a smooth transition for new employees;
  • Monitor the progress and integration of new hires, identifying any barriers to a successful onboarding experience and providing support as needed;
  • Effectively collaborate with hiring manager to assign an onboarding ambassador for the incoming new hire for the first 90 days of employment;
  • Train the onboarding ambassador on the purpose and expectations of their role as listed in the process guidelines;
  • Plan and coordinate the logistics of new employee onboarding, including scheduling and preparing/updating materials for distribution;
  • Review and identify areas of opportunities for news hires within the 30/60/90 day satisfaction report to ensure their initial needs are met and follow up accordingly;
  • Compile orientation evaluation data results and forward results to direct manager;
  • Effectively administer special onboarding projects developed for new hires;
  • Provide audit support for the HS/PRS program, by responding to requests for a list of missing documents for licensing audits, printing documents, and preparing employee files for audit;
  • Assists with collecting the respective programmatic terminated files from branches;
  • Completes other duties as assigned. 

QUALIFICATIONS:

  • Bachelor’s level degree in Human Resources, Business Administration, or equivalent field of study from an accredited college;
  • At least one (1) year of vocational experience in a similar role;
  • Experience in onboarding and recruitment with a proven track record of successful onboarding processes and employee retention;
  • Strong organizational skills to manage and streamline the onboarding process efficiently;
  • Excellent communication and interpersonal skills to build rapport with new employees and establish a positive onboarding experience;
  • Attention to detail and organizational skills to coordinate and manage multiple onboarding processes simultaneously;
  • Must possess a strong attention to detail with exception problem solving and analytical skills;
  • Must be reliable with time sensitive deadlines and tasks;
  • Exercise a high level of confidentiality; 
  • Work well under pressure and adaptable to change;
  • Working knowledge of MS Office Suite, SharePoint, and HRIS systems (UltiPro preferred);
  • Highly motivated and self-managed;
  • Computer skills sufficient to perform essential functions including knowledge of Microsoft Office suite;
  • Must be 21 years old with a valid driver’s license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany. Must also pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate insurance coverage;
  • Pass a criminal history screen, including state and local child protection agency registries;
  • Subscription to and integration of the agency Statement of Faith and Mission Statement.
