E & I Maintenance Planner

Purpose of the job:

Provides liaison and facilitator support services to the Project Engineering & Plant Engineering/Maintenance staff.  Primary responsibility is to process and maintain all documentation related to the computerized maintenance management program (SAP) applications within the maintenance and engineering organization.  Prepares essential reports and provides administrative and communication support services to insure effective maintenance informational flow.  Relieves the Maintenance Superintendent and Supervisors of as much routine processing as possible.   Works closely with Maintenance supervisors to plan and develop maintenance routines, strategies, and schedules.     

Main responsibility areas:

  • Manage the department utilization of the SAP system, develop training programs, and provide instruction and assistance to system users.
  • Utilize a variety of computer software to collect data from a variety of sources, including download functions from AS400 systems and compile such data in meaningful format to provide information for management on an effective and timely basis.
  • Coordinate the collection of work order information, functional location, and labor distribution information from the SAP system.  Design reports and forms to support management reporting as well as “A-Plus” presentation requirements.
  • Assist Maintenance Supervision in development and administration of preventive maintenance routines and work order schedules.  On behalf of the Maintenance Superintendent act as facilitator and coordinator of the overall preventive maintenance scheme within the SAP system.
  • Daily time and cost distribution.  Monitors data entry of all maintenance payroll related functions to maintain the highest degree of accuracy and system integrity.
  • Coordinate scale calibration service contracts. Deal with outside vendors and process paperwork as required to assure compliance with service agreements, ISO Standards/Procedures.  As required coordinate and arrange for the necessary installation and repairs of product/production scales throughout the mill site.
  • Aid the Maintenance Supervisors with initial work order screening, and assist with the development of ‘standing work orders’, tasks lists, etc.
  • Will provide continued training and instruction to SAP system users to increase SAP function utilization.  The Maintenance Supervisor/Planner is a ‘heavy’ user of the system and production personnel (who submit work requests) are considered light users.  The responsibilities of this position include a significant investment of time in the development of SAP user skills in others.
  • Prepare end of month and period reports and graphs as required to support management requirements and provide for accurate accounting of labor and material cost distribution.
  • Act as gatekeeper for the department records, involvement, and responsibilities under the ISO and A-Plus programs.  Develop ISO procedures, maintain records, assure compliance with protocols, and represent the department during ISO compliance audits.
  • Assist in the maintenance of engineering and electrical libraries, plant engineering and maintenance department records.  Be familiar with and capable of performing tasks of others with the group to provide support necessary to assure continuity of department operations.
  • As required assist with Stores Management and Inventory Control functions such as, reorganizing all stock room areas, establishing new part numbers for parts not in the system, develop critical parts list, set min/max levels for parts.
  • Ensure that all adhere to company processes and procedures.
  • Ensure the material and resources are available and communicate this information with all concerned parties in maintenance and operations.
  • Monitor the process of identifying work and regularly provide integrity feedback and statistics for their planning area and calculate key performance indicators in accordance to Ahlstrom’s policies and procedures.

Communication: (position’s responsibility for communications both within and outside the organization)

Internally

  • Working with maintenance manager, MRO, E&I leads and supervisors to ensure that all parts are inventoried and accounted for.
  • Work with SAP to plan and kit projects and planned work.
  • Attend weekly backlog meetings and work with production management to schedule repairs and PMs during planned downs.

Externally

  • Understand and build relationships with external parties to strengthen and sustain competitive advantage.

Experience and education: (minimum level of knowledge and skills to fulfill one’s responsibilities)

Work experience

  • Diploma plus demonstrated and highly developed computer literacy and administrative skills
  • 5-8 years experience working in office administrative functions.  Specifically, experience must include a well-rounded knowledge of maintenance operations and proven track record of performance with the administration of computerized maintenance management systems.

Formal education

  • Associate degree in Business Management or 3 years’ experience equivalent.

Required competencies.

  • Requires background in use of a wide range of office equipment and a well-developed ability to operate and utilize a variety of computer and related equipment and software programs.
  • Must have knowledge of Ahlstrom Information Security policies and is for his/her own part responsible for ensuring information security when handling information and maintaining or using information systems or information networks.
  • SAP experience preferred.
  • This position is additionally responsible as part of the manufacturing flexibility program to cross-train and be fully qualified to work in an at least one other alternate position within the manufacturing operation.
  • Must have strong term commitment to safe work practices.
