Administrative Assistant to High School Vice Principals and Deans (2383)

JOB GOAL

To keep accurate and well-organized records of all student records.  To assist the vice-principals and deans and support them in their role as outlined below.

 

QUALIFICATIONS

  • Education: Graduation from a high school or GED equivalent with a working knowledge of modern office practices and procedures.
  • Specialized Knowledge: Knowledge of Google Suite and Powerschool a bonus, but will train the right person
  • Preferred Experience: Two years experience in a related field preferred.
  • Skills:
  • Demonstrated aptitude for work to be performed
  • Bilingual skills, especially in Spanish and Portuguese, are highly desirable
  • Skills in the following software applications preferred:  Microsoft Office (Word and Excel), PowerSchool, Power Point and Google Docs/Drive.  Must be comfortable with the use of tables and formulas.
  • Willingness and ability to help other co-workers as needed.
  • Excellent human relations skills required. Ability to work collegially and cooperatively with all constituencies within the school community is essential.
  • Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations.
  • Ability to coordinate office projects.
  • Ability to handle large volumes of work and a variety of jobs associated with the running of a busy office in an efficient and accurate manner.
  • Candidates should have a passion for working with students, families, and colleagues
  • Candidates must be flexible and collaborative
  • Candidates must be able to multitask in a fast-paced, supportive environment that nurtures student growth
  • Candidates must be organized and able to meet ongoing, time-sensitive deadlines for work production
  • Such alternatives to the above qualifications as the Superintendent may find appropriate and in conformity with state certification requirements.

 

TOOLS AND EQUIPMENT USED:

  • Phone, intercom, personal computer and software applications as outlined above, scanner, copy machine, calculator, printers and fax machine.

 

ESSENTIAL FUNCTIONS OF THE JOB (not limited to)

  • Performs clerical duties associated with the vice principal’s and dean's office, including detailed correspondence with parents, students, staff and community members.
  • Acts as liaison between outside service companies and Natick High School.
  • Assists with answering phones and, in support of other office administrative assistants, assists students, staff and visitors and sorts mail.
  • Operates office equipment as listed under “Tools and Equipment Used”.
  • Performs accurate and timely data entry.
  • Distributes Student Daily Attendance List to staff
  • Elevator Pass distribution to and collection from students
  • Organizes Junior Book Awards event
  • Prepares Open House Evening
  • Makes appointments for Vice Principals and Deans
  • Assists in Graduation preparation
  • Send information to DESE
  • Writes Special Education letters
  • Prepares documentation/appointments for ACT
  • Maintains Free and Reduced List
  • Enters Student’s Tardies to school 
  • Maintains data for Credit Attendance 
  • Prepares New Student appointments and paperwork
  • Other duties as assigned.

 

PERFORMANCE RESPONSIBILITIES MAY INCLUDE

  • Any other relative duties as assigned.

  • move about the classroom, school, school grounds, office, and/or off-site locations.

  • remain in a stationary position for periods of time; 
  • operate a computer and other school/office productivity machinery (i.e., iPad, copy machine, computer printer, assistive technology, etc.); 
  • read material from a computer monitor as well as handwritten or printed matter with or without visual aids; 
  • position oneself to maintain files and access school/classroom/office materials;
  • communicate with others so that information received and given is understood and accurately communicated;
  • communicate and collaborate effectively with students, parents, and other staff members in person, via video conference, on the telephone, and/or in writing;
  • observe details at close range
  • in the school setting, ensure the safety of students;
  • multitask and meet multiple demands from several people;
  • lifting up to and including 25 lbs
  • the noise level in the work environment is moderate to loud.
