Special Projects Coordinator

About Exhale to Inhale 

Exhale to Inhale (ETI) empowers survivors of domestic and sexual violence to transform their lives by using the practice of trauma-informed yoga while helping communities to develop skills and knowledge to support survivors. ETI places trained Wellness Instructors at shelters and facilities to deliver trauma-informed classes throughout the year.

Exhale to Inhale brings the healing power of yoga to survivors of domestic & sexual violence, especially those who could benefit from the practice, yet might not otherwise have access to it.

Reports to: Chief Program Officer

Position Summary:

The Special Projects Coordinator is a key member of Exhale to Inhale’s programs team reporting to the Chief Program Officer (CPO) and supports the Director of Community Partnerships (DOCP). The incumbent will be responsible for the success of the program operations for the College Program while supporting other educational initiatives within Exhale to Inhale: Training Program, Scholarships Program and Continuing Education. 

The incumbent has a refined social-emotional acumen, and is highly organized, detail oriented, open to new situations and enterprises, problem solver, has a warm disposition and approaches feedback with a growth mindset. The candidate will be someone who thrives in a dynamic and collaborative environment.

The SPC will be required to work at least 30 hours per week with a consistent weekly schedule from their home office where the space is conducive to focused work and does not have background noise.

Key Responsibilities

 

Management and Administration

●  Prepare for & lead weekly status calls with supervisor

●  Attend all quarterly team All Staff Meetings

●  Steward the relationships of the “From Wellness to Wellbeing” Program in partnership    

               with the DOCP.

○      Ensure that Classes are fully staffed and Wellness Instructors are prepared to lead classes onsite. Collect attendance.

○      Ensure that all campus POIs have all communications materials needed to promote the program, including but not limited to, sign up sheets, waivers, flyers etc.

○      Facilitate a consistent connection with the campuses ensuring the attendance at classes is 15 or more per week.

○      Facilitate the smooth operations of the workshops, ensuring that the speakers, ETI staff and College personnel are staff to deliver contents or attend.

○      Track attendance and impact data

○      Serve as the main point of contact for troubleshooting concerns on class staffing and remain responsive to college community needs.

○      Stay connected to college campuses by visiting sites and contacts as needed.

○      Share feedback from classes with the ETI team term by term to showcase engagement.

○      Deploy the On-demand Summer Program to the campus community ensuring sound strategies and practices are in place to grow attendance and participation in the program.

 

Content & Communication

●      Prepare and deploy presentation materials for meetings and trainings as needed

●      File expenses as needed

●      Ensure the CPO receives a weekly and quarterly progress update

●      Update all public facing content including but not limited to the website, Eventbrite/ training delivery platform, ETI Facebook account etc.

●      Develop and post all print and web advertising content

●      Develop, maintain and deploy a monthly communication to the Training alumni to nurture and cultivate this community

●      Update the training outline, slide deck or other materials as needed ensuring readiness a week prior to any training

●      Collaborate with CPO to develop an annual marketing calendar with respect to training communications

○      Add tags and creating social connections from Eventbrite to FB to website

○      Support the collection of testimonials and other assets for ETI

●      College Program Outreach:

●      Deploy the outreach plans for the College Program, Training Program and Scholarships programs

●      Track attendance of classes and workshops across College, Training and Scholarship programs

●      Steward Community Relationship through delivering Application Clinics, and Teacher Training Information Sessions

●      Support the CPO to staff WIs for a variety of outreach activities

●      Maintain detailed notes and records

 

Trainings & Education

●      Serve as the coordinator of the Continuing Education Working Group which includes, Lead Trainer, Trainers, Training Coordinator , CPO and Director of Community Partnerships

●  Serve as the coordinator of updates to teacher training content including, slide decks, manuals and outlines (in addition to the 10 hours stated above of weekly administrative work)

●      Collaboratively, update all educational training assets as needed:

  1. Teaching Manual in collaboration with Lead Trainers and Training Team
  2. Yoga Alliance Trainer dues and listing in collaboration with Trainers
  3. In collaboration with the Training Coordinator, support the updates to teacher training content including, slide decks, manuals and outlines.
  4. External point of sales such as Eventbrite and other event platforms

●   Serve as a main point of contact for the training@ in box and respond to customer facing requests in a timely manner (48 Hours)

●   Support the management of the training and scholarship programs:

○      Support the stewardship of the Scholarship Program in partnership with CPO and DOCP

○      Update all materials related to the scholarships program

○      Ensure program efficacy in alignment with the program’s goals and objectives

○      Steward and maintain the training workflow activities

○      Deploy the post-training survey using Survey Monkey, including analysis of results to implement feedback in future trainings

○      Ensure all public facing listings and training announcements are accurate and timely

○      Send training pre-assignment plus pre packet week prior to training date

○      Identify, staff and communicate with training assistants

○      Update notes, recordings and all content needed to support trainings

○      Deploy certificate of completion to participants.

○      Send out training recap to participants

○      Manage all attendance rosters and ensure all documentation is current

○      Manage video & audio assets and needed

○      Serve as the training assistant as needed at training sessions

 

Program Evaluation

●      Deploy training survey post training

●      Ensure the readiness and update all training surveys annually

●      Track and retain all feedback

●      Share feedback with trainers, CPO and communications team post training, as needed

●      Ensure all evaluation instruments are updated and ready annually. [Partner Classes, Public 

       Classes, Scholarship Impact, Training Survey, Teacher Experience

●      Collect and grow the responses to the wellness survey and share them with the Program  

                     Evaluator at the close of each term

●      Meet with the CPO Quarterly to share impact data and program dashboard

 

Experience and Qualifications:

 

●      Up to five years of relevant work experience in a nonprofit or corporate sector setting

●      Strong project management skills and demonstrated experience managing multiple    

         tasks

●      Strong writing and editing skills

●      Fluency in Spanish (written and verbal) preferred

●      Strong interpersonal skills and the ability to be an effective communicator.

●      Demonstrated ability to work collaboratively with a team

●      Experience working on campus or with college-aged setting preferred

●      Commitment to advancing diversity, equity, inclusion, and belonging in the workplace

●     Strong conceptual thinker who is responsible for routine coordination and  

        implementation of Exhale to Inhale’s programs

●     Must be detail-oriented, responsible, and work well with minimal day-to-day oversight

●     Proficient with Google Suite, Zoom, Databases, Mailchimp, Canva, Dropbox, Adobe pro, 

        Squarespace, Excel, Keynote, or other presentation tools

●     Comfortable with ambiguous markets or new partners or technology platforms

●     Bachelor’s Degree required. Master’s Degree preferred.

●     Willingness to work remotely Monday-Friday at a schedule that will be collaboratively 

        predetermined, regularly participating in once per month coworking day in NYC &     

        required travel for site visits in Queens, Manhattan, Brooklyn and Bronx 3-5 times per     

        month

●     New York City Area candidate preferred

●     Returning to work candidates are encouraged to apply as well as individuals enrolled in

Employment Status:

Exhale to Inhale is unable to sponsor candidates for work visas at this time. Therefore candidates must have legal work authorization to work in the United States.

Compensation:

 

30 hours per week ;  $22 per hour

12-month contract role (possibility for renewal based on grant funding)
