Part Time 16-24 Hours/Week

Bilingual English & Spanish Required

Compensation:

  • In accordance with California law, the expected salary range for this position is posted with this position.  The actual compensation will be determined based on experience and other factors permitted by law.

 

Program Assistant Summary:

This position provides a wide variety of administrative and staff support services at a program level. The Program Assistant performs a specialized administrative role. The Program Assistant uses judgment based on experience to evaluate situations and develop solutions and works to achieve assignment outcomes.

On an as needed basis, provides a welcoming, safe and nurturing environment for children in a play care setting. 

 

Duties and Responsibilities:

  • Responsibilities are complex in nature and require some independence.
  • Supports program in collection/distribution of data, communications, coordination of meetings and materials, tracking financials and preparation of reports.
  • Assists with monthly program status reporting and invoice preparation.
  • Updates and maintains program lists and databases.
  • Budget tracking (program specific).

Program Support:

  • Accounts for a variety of documents for tracking purposes, telephone inquiries, training events, purchasing/returns and generates reports as necessary by program.
  • Takes initial phone inquiries from caregivers, referral sources or program partners regarding programs.
  • Interviews prospective program participants prior to meeting with a social worker or case manager as necessary by program.
  • Assists in the coordination, organization and logistical support of ongoing groups and program activities such as arranging meeting space, confirming attendance and providing additional support as needed.
  • Collects/acquires all paperwork not provided during consultation (program specific)
  • Collects ongoing paperwork not provided during visits (program specific)
  • Files court documents.

Qualifications

Have knowledge of:

  • Knowledge of Microsoft Access and PowerPoint preferred.

Have the following skills:

  • Must be proficient in Microsoft Word, Excel, Outlook, Publisher and data entry.
  • Minimum keyboard skills of 55 WPM.
  • Mastery of the English language including the ability to edit and ensure grammatical correctness of written materials in English.
  • Required to communicate effectively both verbally and in writing with supervisors, employees and the public.
  • Strong listening skills.
  • Demonstrated patience and flexibility when working with children.

Have the ability to:

  • Must demonstrate a working ability with basic filing systems, computers, and use of office equipment.
  • Ability to relate and work with persons of diverse culture and/or economic background.
  • Must be able to lift 30 lbs.
