Faculty Support Assistant
General Purpose of position:
Perform routine administrative tasks as the receptionist of the faculty office. Work includes but not limited to answering telephone, providing faculty assistance, scheduling models for classes, maintaining the model assignment calendar, and ordering office supplies.
Essential Duties and Responsibilities:
- 25% - Assist faculty with various assigned projects, answer questions (in person, email or by telephone) from Herron Models related to scheduling, and provide resources as needed.
25% - Receive and fill model requests, keep Google calendar updated, confirm schedules with faculty and models.
- 15% - Answer phones and respond to inquiries from employees, citizens, and others referring individuals to the appropriate person, official, or department.
- 10% - Prepare outgoing mail, sort and distributed incoming campus and US mail.
- 10% - Other duties as assigned by supervisor.
- 5% - Maintain office supply inventory and place orders.
Skills/Experience Gained in this Role:
- Core Communication and Quantitative Skills - Students will gain skills in communication by responding to all email during their shifts. Students will also perform analysis of inventory to ensure levels for school supplies are satisfactory.
- Critical thinking - Students will work independently to field questions and concerns from walk in visitors. When supervisor is not available, student will address visitor needs by providing resources and referrals as needed.
- Intellectual Depth, and Adaptiveness - Students will take on special projects as assigned which relate to coursework currently being pursued.
- Understanding Society and Culture - Students will gain cultural awareness and understanding by working with a diverse pool of faculty and staff.
- Values and Ethics - Students will monitor confidential materials for the office and will uphold confidentiality agreements with regards to personnel records.
Necessary Knowledge, Skills, and Abilities:
- Working knowledge of computers (Microsoft Edge) and other office equipment.
- Ability to work independently and take initiative with assignments.
- Commitment to be helpful and friendly with all employees and visitors.
- Punctual and reliable.
Education and Experience:
Undergraduate students at IUPUI; customer service and/or office expeirence preferred. Work-study award is required.
