Library Science Intern

Purpose

CWS has grown as an organization and needs to strengthen the way that it stores and make available:
  • Minutes and official records of the work of the Board of Directors and its Committees that must be maintained
  • A searchable database to locate past Board and Committee actions
  • Materials for meetings of the Board of Directors and Board Committees


Responsibilities

The specific duties of the Board of Directors Records Management Intern include:
  1. Develop an easy-to-use system to maintain a digital Minutes Book for the CWS Board, to include:
  • Approved Board minutes and any documents approved in a given meeting
  • Approved minutes of Board Committee meetings and any documents acted upon in a given meeting
  1. Develop an easy-to-use searchable database (likely in Excel) to track Board and Committee actions.
  2. Propose a structure and solutions for maintaining Board and Committee books (materials) for the purpose of historical records.
  3. With access to the current board portal and other materials, work the VP of Governance to source all needed documents and work from 2023 back to:
  • Enter minutes and related materials into the new digital Minutes Book
  • Enter the actions by the Board and Committees into the searchable database
  • Store Board and Committee books for historical records.
  • Possibly assess standalone board portals and develop a plan for implementing such a tool.


Qualifications

  • At least two years of formal studies and experience in library sciences or knowledge management or an equivalent experience.
  • Extraordinarily high degree of attention to detail
  • Experience in developing systems to store and access information
  • Strong written and oral communication skills in English
  • High degree of familiarity with the Microsoft Suite of software; preferred experience with MS Teams and Sharepoint; strong experience with scanning paper documents for storage
  • Ability to travel occasionally to the CWS Elkhart, IN office where many documents are kept
  • Solutions-oriented person that brings their skills to bear in developing systems that can be used and maintained with ease by the future users
  • Dedication to the project tasks and delivering work in a timely manner
