SUMMARY
The Associate Registrar for Loans and Exhibitions coordinates and oversees the Toledo Museum of Art’s (TMA) loan program which includes outgoing loans, independent incoming loans, and long-term loans, along with coordinating and organizing all registration tasks for in-house and touring exhibitions.
KEY ACCOUNTABILITIES
Loans
- Performs all registration functions for outgoing loans from the collection and for independent loans to the collection, including the execution of loan agreements, scheduling of packing and shipments, and maintaining loan files and documentation.
- Works closely with the curatorial department to vet and process loan requests.
- Coordinates condition reporting, crating and packing with the conservation and installation departments.
- Trains, oversees, and coordinates TMA’s pool of couriers accompanying loans.
- Manages TMA’s long-term loans program. Ensures that paperwork for long-term loans to the collection is executed and updated properly at regular intervals, communicates with donors regarding their loans, and oversees scheduling and care of the loans.
- Updates AAM Standard Facilities Reports for TMA Green building and Glass Pavilion and completes other organizations’ security and facilities reports as needed.
- Acts as point person between TMA and the Transportation Security Administration (TSA) for the Certified Cargo Screening Program (CCSP). Ensures that all protocols and procedures required by the TSA are strictly adhered to, working closely with both Protective Services and TSA. Provides training (both initial and on-going) to TMA staff who must participate in the program and maintains all records and paperwork necessary for participation in the program.
Exhibitions
- Performs all registration functions for special exhibitions organized and/or circulated by TMA or organized by others and displayed at TMA.
- Serves as museum registration contact with lenders and exhibitors.
- Executes loan agreements.
- Provides cost estimates for all aspects of shipping and crate storage.
- Arranges all shipping and manages related budgets.
- Arranges insurance and indemnity coverage.
- Coordinates scheduling for all packing, shipping, and unpacking, including any necessary work direction.
- Acts as courier and travels when required.
- Works closely with the Exhibitions Coordinator and Installation Design Manager to share information regarding installation requirements, shipping, and installation schedules.
Performs other duties as assigned or required.
RELATIONSHIPS
- Reports to the Senior Manager of Exhibitions and Collections.
- Builds strategic working relationships while working closely with the Registrar, Curatorial, Conservation, and Exhibitions, as well as IT departments.
- Works closely with domestic and international institutions, organizations, and donors to facilitate the safe movement of loans and staff to and from the museum.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in art history or related discipline required
- 3-4 years’ related experience in a museum setting required
- Proficiency in using Microsoft Word and Excel
SPECIALIZED KNOWLEDGE, COMPETENCIES, AND ABILITIES
- Experience with Collection Databases, preferably The Museum System, is strongly desired.
- Art handling experience is strongly desired.
- Self-motivated and manages their own time to ensure a variety of tasks are completed in order of importance and in a timely manner.
- Detail-oriented since many tasks require proofing or careful follow-through in order to complete projects while still being efficient, motivated, and productive.
- Flexible and adaptable with the ability to prioritize multiple projects.
- Possesses good interpersonal skills and the ability to communicate clearly and effectively, both verbally and through written communication.
- Quality orientation is essential as completing reports, reviewing information for accuracy, and managing small details is a key component of the position.
- Adapts to changing duties and additional added components for completing tasks as they may arise with short notice.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
Standard open office work environment shared with co-workers, with related phone, computer and printer noise. Position requires ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, printer and phone system; The person in this position occasionally communicates with public membership and staff who have inquiries and must be able to exchange accurate information in these situations. May occasionally lift up to 25 pounds; Support given to various departments across campus may result in occasional exposure to uncomfortable weather conditions. Must have manual dexterity to handle works of art. Requires occasional overnight travel.
