Pandemic Renewal Administrative Specialist, Limited Duration

We are hiring a Pandemic Renewal Administrative Specialist (AS2) with the Office of Teaching, Learning, and Assessment. This will be a full-time, Limited Duration position expected to end June 30, 2023; however, the position may be extended pending funding approval. Limited duration appointments are benefits eligible. This position is represented by the SEIU.



This position is eligible for a flexible hybrid remote work schedule.  This role is ideal for those seeking more work/life balance with the ability to work a hybrid of both office and remote work environments. The duties of this position will be performed remotely as well as at our central office in Salem, the Public Service Building. The ability to report to Salem is required on an as-needed basis when the business or operational needs are dependent on onsite activities. 


This monthly base salary range before PERS is $3,398-$5,148.

What you will do!


As an Administrative Specialist with OTLA, you will have the opportunity to work with Oregon’s communities, Tribes, education partners at the national and local level, and community partners to support equitable opportunities for Oregon students. Come be the heart of the action and support ODE’s work in service to students across the state and engage Oregon’s communities so they can thrive. This position will administer guidelines and publications, provide project monitoring support, and perform administrative research, analysis, and evaluation in support of the design, maintenance, and continuous improvement of internal procedures and the provision of professional learning opportunities and resources for education and community partners in Oregon. 

A day in the life:


  • Establish and maintain procedures to coordinate program activities and supporting documentation. 
  • Track progress toward milestones, utilizing project management tools (e.g., Smartsheet) to accomplish program goals and objectives. 
  • Interpret rules and regulations and provide information, advice, and direction to agency staff, the public or other State, local, or Federal agencies to assist them in carrying out assigned activities, achieve compliance, resolve problems, or determine an appropriate course of action.
  • Monitor and document procurement activities and support contract and grant administrators, in coordination with staff from ODE’s procurement office.

What are we looking for?


Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations;
OR
an equivalent combination of training and experience.
One year of postsecondary education may be substituted for up to one year of the experience.

  • Fluency with office applications (e.g., Microsoft Office products, Smartsheet, Adobe, Zoom, Microsoft Teams, GoTo Meeting) and experience in applying web technology as a communication tool

  • Strong organizational and project management skills and ability to manage multiple priorities
  • Ability to establish effective relationships with a variety of partners and community groups representing diverse perspectives
  • Knowledge of local, state, and federal programs
  • Experience providing advice or technical assistance to school districts, tribes, community groups or the public
  • Experience with grant and contract management

  • Salary Range: The range listed above is shown as monthly earnings, and is the Non-PERS salary range. Public Employee Retirement System (PERS) participating members will have their base salary increased by 6.95% and pay a 6% employee contribution to PERS.
