As a full-time Training Operations Associate, you will work in support of CSS’s core solutions and internal professional learning offerings across all regions at the organization and will also provide general office management, as needed. You will prepare training materials; assist in preparing for training events, which includes providing on-site support during training events; support the day-to-day operations of the National Training Operations Team, including calendaring and technical support; and assist with evaluation activities, including data collection, data entry, and summarizing training data.
Key Job Responsibilities
National and Regional Training Operations (External & Internal)
- Support the training registration process, including invitation materials, approval of invitees, and ongoing management of training participants throughout a training cycle
- Format and maintain event pages using online registration software, in conjunction with CSS’s internal systems for tracking training data
- Provide logistical support for internal and external events, including, but not limited to, placing food orders, placing print orders, scheduling courier service, and making hotel reservations
- Review and verify training-related invoices and submit for approval and payment
- Input trainings and related internal meetings (training preparation and debrief meetings) into the CSS Outlook calendar and training database
- Format and disseminate resources and agendas to support internal meetings to effectively prepare CSS facilitators for regional and national trainings
- Maintain project management software for all team-related tasks to ensure deadlines and goals for ongoing projects are set based on best practices and ensure team members are aware of these dates and markers
- Provide exceptional technical facilitation at internal and external trainings and events
- Word processing: format and prepare training materials
- Proofreading: ensure that all materials are proofread and error-free
- Assembly: Support the assembly of meeting and training materials; pack and ship training materials
- Track and order training and program supplies, including their arrival to the office and organization
- Maintain curriculum websites for core CSS solutions, troubleshoot challenges or issues that may arise
Data Collection, Entry, and Compilation
- Assist with student survey administration, collecting program attendance and other implementation data
- Enter training evaluation data, produce training evaluation summaries and reports, and disseminate reports to internal staff
- Provide as-needed support for pop-up projects across regional and national teams
- Conduct literature reviews and other needed research for training and curriculum teams, as needed
- Support the accounting and billing process
- Other responsibilities, as needed
Qualifications and Experience
You have experience providing administrative support, ideally in a nonprofit setting. You are comfortable and thrive in a fast-paced and growing organization.
In addition, you have likely had the following experiences and have demonstrated the following attributes:
- Proficient in planning and organization
- Strong attention to detail
- Excellent verbal and written communication skills
- Self-starter with ability to work independently
- Team player with ability to work collaboratively
- Highly skilled in Microsoft Office and Google Suite applications
- Creative document design skills
- Familiarity with online event software a plus
- Experience with Zoom a plus
- Flexible and able to enjoy working in a fast-paced environment
COVID-19 Vaccination & Testing
CSS requires all school-facing staff members to be fully vaccinated against the COVID-19 virus. As of the time of this position announcement posting, fully vaccinated means receiving two vaccination doses of either the Pfizer vaccine or the Moderna vaccine, or one dose of the Johnson & Johnson vaccine. Non-school facing staff members who are not vaccinated because of a CSS-approved medical or religious accommodation must submit a copy of a COVID-19 test result 48-72 hours in advance of any CSS-related in-person interaction (this includes in-person interaction with other staff, in-person training events, office visits, business meetings, and/or school visits).
The Training Operations Coordinator is a hybrid position with time divided between a home office and on-site at the Princeton, New Jersey office and at regional and national trainings.
- Prolonged period of sitting at a desk and working at a computer, including participating in virtual videoconference meetings
- Communicating with others in writing and verbally to exchange information
- Ability to lift and move boxes weighing as much as 15 pounds
Compensation and Benefits
The anticipated starting date for this position is September/October 2022. The hiring salary for this position is $42,600 – $53,245 per year. CSS offers the following benefits:
