Artistic & Management Associate

Status: Full Time/ Regular/ Exempt
Reports to: Artist Director and Managing Director
Salary: $42,300 + Benefits (Medical, Dental, 401(k), Long Term Disability, paid vacation time)

THE POSITION

The Artistic & Management Associate (AMA) provides support for the Artistic and Management departments, including working with the Artistic and Managing Directors in the role of assistant. The AMA reports to the Artistic Director & Managing Director and works in close cooperation with the Associate Artistic Director and Assistant Artistic Director to implement the institution’s programs in support of its mission and values. 
 
The AMA will also act as board liaison to the Board of Trustees, particularly the Board Chair, and will aid in engagement and communications.
 

ESSENTIAL FUNCTIONS

Artistic
·  Act as primary coordinator of annual season planning process, including obtaining and distributing scripts under consideration and providing an ongoing list at all meetings with play details and meeting notes.
·  Assist Associate Artist Director in preparation of Symposia for each play in the season. Communicate with guest speakers to arrange travel, tickets, and all other accommodation.
·  Distribute season’s scripts for reading by staff members and for use in casting process.
·  Assist with the scheduling of any local or non-union auditions with Associate Producer.
 
Management and Office Support
·  Maintain the AD & MD’s calendar and schedule meetings for AD & MD with staff, Board members, donors, artists, and other Playhouse connections as requested
·  Manage the day-to-day operation of the AD & MD’s offices including, but not limited to answer incoming phone communications; draft correspondence for the AD & MD’s signature; assemble documents and briefing materials for AD & MD’s meetings; reserve and secure locations for AD & MD’s meetings and activities; represent the AD & MD at meetings as assigned when the AD or MD are unavailable.
·  Maintain Artistic, Management, and Symposium budgets, working with finance to reconcile all charges.
·  Assist the MD in dissemination of internal and external information to designated constituencies.
 
Board Relations
·  Act as staff liaison to the Board of Trustees, particularly the Board Chair. Help with Board engagement and communications. 
·  Schedule, set up, attend, and prepare minutes for Board and committee meetings; circulate materials prepared in advance of Board and committee meetings.
·  Update and maintain Board online resources (Dropbox and Outlook calendar), Board Handbook, and Board contact lists.
·  Assist Board members with Playhouse and other house seat requests. 
·  Maintain records for all Board committee assignments.
·  Maintain files of Board, Executive Committee, and other assigned Board Committees
 
Staff Support
·  Provide support for marketing, development, and education events as needed.
·  Assist HR with job postings and applicant management.
·  Order office supplies as requested.

SPECIAL COVID FACTORS

·  All Westport Country Playhouse employees are required to have received both doses of the COVID-19 Vaccine (or one dose of Johnson & Johnson) plus the booster.
·  Currently, all staff are required to work in the office at least 2 days per week, and we are planning to require staff to be in the office 4 to 5 days per week in the coming months.

The Playhouse is a non-profit organization that produces theater from playwrights, actors, directors, and designers of all backgrounds, while entertaining audiences and exploring human and societal issues along the way.
