Administrative Assistant

THE POSITION
The Children and Family Services (CFS) team of Human Services Public Health (HSPH) is seeking an Administrative Assistant. The person in this important role will interact with all levels of staff but will work primarily with, and receive direction from, the CFS Executive Leadership Team. They will also support CFS business operations, work closely with the CFS Executive Leadership Team on process improvement initiatives, and support the department in the planning and execution of administrative tasks.
 
Location and hours:
This position is hybrid and will be performed both on-site at various Hennepin County Human Service Centers and remote as job duties require. Work hours are Monday through Friday, 8 a.m. – 5 p.m. While this position is designated as hybrid, based on current requirements hires must reside in Minnesota or Wisconsin.

New employees who are hired into remote or hybrid positions between January 2, 2022, to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

In this position, you will:
  • Lead improvement planning and cross-team collaboration and manage infrastructure of the Executive Leadership Team.
  • Prepare, write, and proofread specialized correspondences, lists, reports, and other standard department documents, and assist with the development of forms and/or assist in revisions.
  • Provide calendar and scheduling support for the Executive Leadership Team.
  • Research and respond to communication from residents, community providers and external groups.

Need to have:
  • One of the following:
  • Four or more years of experience in general administrative work relating to the support of departmental/organizational operations or in a specialty area appropriate to the position.
  • Bachelor's degree or higher in business administration, public health, public administration, communications or another field appropriate to the position. 

Nice to have:
  • Experience:
  • Working with computer programs including Microsoft Office (Word, Excel, PowerPoint, Visio), TEAMs, and SharePoint.
  • Planning, scheduling and moderating both virtual and in-person meetings and events.
  • Leading and supporting administrative projects for an organization.
  • Working with executive leadership and supporting leaders at all levels.
  • Knowledge of administrative principles and practices relating to the management of department operations.
  • Ability to: 
  • Stay organized and successfully juggle and manage multiple priorities and projects.
  • Evaluate policy and develop plans for program implementation.
  • Establish and maintain effective working relationships within and outside the organization.
  • Perform general administrative work.
  • Investigate and resolve complaints.
  • Design and deliver training.
  • Communicate verbally and in writing.
