Intern - Space Planning/Project Management

SUMMARY:
 Assists the Facilities Project Manager with building and grounds space planning, security system updates, interior decorating, and other small project coordination. May attend various planning meetings with Utility leaders, purchasing staff, and operation support staff. This is an excellent opportunity for college students studying in this field to apply.

 ESSENTIAL DUTIES AND RESPONSIBILITIES: 

The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all-inclusive.
·       Works with city staff engineers, project managers, supervisors, and managers to create scopes of work associated with planning for office or other facility space use/ needs.
·       Creates preliminary designs using space planning software programs.
·       Research products or materials and obtains price quotations from vendors.
·       Assists with the development of project budgets and schedules.
·       Coordinates maintenance work with the City’s centralized maintenance group “Operation Services”.
·       Creates and distributes communications documents for projects (meeting agendas, informational bulletins, meeting notes, etc.).
·       Schedules meetings with contractors, vendors, or staff via Microsoft Outlook.
·       Other duties as assigned.

 SUPERVISORY RESPONSIBILITIES: This position does not have supervisory responsibilities.

QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES:
·       Interpersonal and communication skills, both verbally and in writing.
·       Confident and self-motivated.
·       Must effectively develop and maintain good working relationships with co-workers, contractors, and other internal and external customers.
·       Ability to become knowledgeable and compliant with Utility operating procedures, policies, and standards.
·       Must be able to aid in writing and verbalizing management plans and policies.
·       Must comply and exhibit the ability to promote safe practices under all circumstances.

EDUCATION and EXPERIENCE: No previous experience is required. Active enrollment in a degree program in Sciences or Engineering Fields is desirable.  

LANGUAGE SKILLS:
  • Ability to read and interpret documents such as safety rules, chemical labels, best management practices, management plans, operating and maintenance instructions, as well as procedure manuals.
  • Ability to prepare and deliver effective reports, correspondence, and presentations.
  • Ability to speak effectively before different groups.

REASONING ABILITY:
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

PHYSICAL DEMANDS:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to walk; sit; use hands to, handle, or feel; and talk or hear. 

WORK ENVIRONMENT:  Work will occur both indoors and out. The outdoor component will occur in varying weather conditions. Conditions may, at times, be severe. This position may require work outside of normal business hours.
