Office Administrative Intern

  • Manages day-to-day office administrative functions for Zivaro to include:
  • Be a trusted advisor to Zivaro leadership while assisting in executive support of company key initiatives and state of the business
  • Draft correspondence and meeting agendas as needed
  • Assist in the development of presentations and other materials in support of Executive initiatives and customer pursuits
  • Manage Executive (CEO, President, CRO) calendars, and coordinate/deconflict calendars for key initiatives and meetings across leadership as required
  • Order marketing materials, employee swag, any special marketing-specific materials as needed
  • Lead the coordination of customer and partner visits, as well as greet visitors to the office as needed 
  • Coordinate all Zivaro special events to include securing spaces, food, invitations, entertainment, etc. as needed
  • Maintain office on a frequent basis to include ensuring space is ready for visitors at any time
  • Order office and kitchen supplies and maintain inventory
  • Manage office mail and receipt of packages
  • Ensure all conference rooms are organized and stocked with necessary supplies
  • Other duties as assigned

  • Ability to work with all levels of the organization
  • Knowledge of Microsoft Word, Outlook, Excel, and PowerPoint is preferred
  • Ability to multi-task, prioritize and handle several projects simultaneously
  • Able to take directives and deliver projects in a timely matter
  • YEARS OF EXPERIENCE: Minimum of 1 year of experience in the administrative field or in pursuit of a bachelor’s degree. 
U.S. Citizenship is required for most positions at Zivaro, due to security clearance and government/federal contracts held by Zivaro.
