Executive Assistant
CareBand, a Third Wave company, is a startup focused on keeping people living with dementia stay safe and out of the hospital. The company leverages an IoT platform with location-based services such as room-level location tracking to identify early changes in condition such as UTIs and agitation.
This position is virtual but strong desire for the candidate to be in the Midwest, ideally in Chicago where the HQ is.
We are looking for an experienced Executive Assistant to support the founder & CEO. We are looking for an EA who is highly competent, eager to take on new projects, has exceptional communication skills, has strong attention to detail and is able to manage various priorities in a fast-paced environment.
Additionally, the founder has ADHD and is looking for someone with experience successfully working with a friend, spouse, peer, etc. with ADHD.
Core responsibilities
- Support prioritization of weekly projects
- Ensure certain customer emails get answered within 24 hours and email management
- Sending gifts to employees or customers
- Help manage administrative tasks (i.e. writing and editing emails, drafting materials, and preparing communications on the executives behalf)
- Handle requests and queries appropriately
- Arrange meetings, appointments and planning/coordinating small corporate events
- Produce and organize expense reports
- Provide operational support
Qualifications/Skills
- 5 years of experience as an executive administrative assistant, senior executive assistant or in other secretarial position
- Full comprehension of google drive, google suite, zoom, slack, hubspot, canvas and procedures
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- High level verbal and written communications skills
- A self-starter
- Able to build rapport and relationships with people quickly over email and phone
- Well organized and methodical, able to work to deadlines
