P220141 - Assistant to the Chair – Surgery

Position Summary:
The Assistant to the Chair is responsible for providing complex support to the Chair for the Department of Surgery.
In this position, you will:
  • Perform wide variety of financial assignments to include: Assisting in the planning and preparation of a department’s or division’s budget request, Preparing budgets for programming events and assist in account management in State, UBF and RF accounts. Maintaining office budget.
  • Responsible for performing routine monthly reconciliation and analysis for internal and external purposes. Procurement management and processing items from State, UBF, RF and Grant funds into the ShopBlue purchasing system.
  • Creating, updating, and preparing presentations, promotional materials, marketing, and departmental newsletter materials as directed by the Chairman and Senior Staff Assistant
  • Monitoring faculty and professional appointments with respect to operative dates for contract renewal, permanent appointment. Provide staff support for human resource activities to include: onboarding, working paper document collection and inputting data into e-ptf system.
  • Handles a wide range of general office duties, including preparing reports, and compiling data. Responsible for setting meetings, composing memos/documents and travel arrangements for Department Chairman
  • Assist in the preparation and submission of grant applications
  • Providing liaison between the Director/Department Chair and the professional staff of institution with respect to departmental matters. Serves as the main point of contact and interface with other Schools and Departments within SUNY Buffalo, regional and national universities, world-wide academic communities and local, national, and international industry partners.
  • Gathering research and statistical data as requested
  • Supervising Student Interns
  • This is a high-level position which requires the ability to demonstrate great communication skills, organizational skills, problem solving and interpersonal relationship skills with experience providing complex, confidential departmental support with tact and diplomacy.

Minimum Qualifications:
A Bachelor’s degree and one year of experience, or an Associate’s degree with three years of relevant experience is required.
  • Excellent organizational skills, and a demonstrated ability to manage and coordinate actively changing and complex schedules.
  • Excellent verbal and written communication skills. Ability to prepare effective presentation and promotional materials, and prepare briefing materials. Able to recognize sensitive information and maintain confidentiality.
  • Ability to communicate and interact effectively and respectfully with a wide variety of constituencies, including an ability to communicate complex information to non-native speakers of English.
  • Proficient with Microsoft Office applications, including Outlook, Word, Excel and PowerPoint. A working knowledge of digital communication and social media tools, and desktop publishing software (e.g. Publisher).
  • A commitment to accuracy, and a high attention to detail. An ability to learn and effectively employ new skills, as needed.
  • Occasional evening and weekend hours may be required, as needed to meet the professional obligation.

Preferred Qualifications:
  • Experience working in a US higher education environment.
  • Experience providing personnel or business support to executives
