Recruiting Coordinator

HHMI is focused on supporting and moving science forward in a variety of different ways ranging from conducting basic biomedical research, empowering educators, inspiring students, developing the next generation of scientists – even stretching into film and media production.  Our Headquarters is in the greater Washington, DC metro area and is home to over 300 employees with expertise in investments, communications, digital production, biomedical sciences, and everything in between.  The work housed here supports and augments the groundbreaking research conducted in HHMI labs across the nation.  As HHMI scientists continue to push boundaries in laboratories and classrooms, you can be sure that your contributions while working here are making a difference.

Summary:
As a Recruiting Coordinator at HHMI, you will be an integral partner in recruiting outstanding talent to our teams. Each day you’ll be able to work with recruiters and hiring managers on coordinating candidate interviews, managing job postings, and processing offers. You’ll also assist the Recruiting Team with projects related to employer branding, candidate experience, recruitment process improvement, and more.

As part of our Talent Management team, you will report to our Manager, Recruiting Operations, and work in a hybrid model at our headquarters campus in Chevy Chase, MD.

In this role you will:

  • Support recruiters and hiring managers in the full-cycle recruitment process including candidate screening, interview scheduling (on-site and virtual), onsite candidate welcome and interview logistics facilitation, conducting professional references, processing employment background checks, etc.
  • Support employer marketing and social media outreach efforts by managing timely posting/un-posting of job advertisements on internal and external job postings sites. Submit job posting expenses for timely pro-card payment processing.
  • Support recruiters in set up, organization and management of virtual and in-person career fairs and recruiting events.
  • Manage and coordinate candidate travel and expenses reimbursement.
  • Support recruiters with passive candidate sourcing efforts. Search online resume databases (internal and external) and social media to locate potential passive candidates. Provide feedback to recruiters on candidate suitability for positions.
  • Create a positive experience for every candidate demonstrating superior customer service skills by providing timely communication on recruitment process, sharing HHMI’s employment value proposition, and answering candidate questions.
  • Generate recruitment and employment brand reports. Share reports with Recruiting and HRBP teams to help improve the speed and quality of HHMI’s talent acquisition processes.
  • Update and maintain recruitment toolkit (e.g., interview and feedback templates), external career page and internal recruitment page.

Required Education and Experience

  • Bachelor’s degree in Human Resources, Business Administration, Marketing, or similar discipline required or a combination of education and related experience. 
  • Minimum of one year of operational experience working in a recruiting environment supporting a recruitment team.
  • Proficiency with technology and flexibility to learn new technology systems

  • Ability to take initiative and ownership of assigned tasks. 
  • Excellent attention to detail and customer service skills. 
  • Ability to handle and maintain confidential information.  

Preferred Qualifications:

  • Full life cycle recruiting experience preferred
  • Staffing Agency experience preferred 
  • Proficiency in working with recruitment-adjacent technology systems (e.g., Workday, Zoom, MS Office, and SharePoint) preferred

Physical Requirements
Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
