The Oregon Department of Environmental Quality has a full-time opportunity for a Central Services Division Office Support Specialist (Office Specialist 2) in Portland, Oregon. This position is limited duration through December 31, 2022.

The Central Services Division (CSD) assists the Agency in achieving its mission by providing central management services for the agency in accounting, budgeting, information systems, human resources, health and safety, training, policy and organizational development, purchasing, and facilities management. The division serves headquarters and 3 regional divisions, the Vehicle Inspection Program, and the Laboratory and Environmental Assessment Division. What you will do!
You will provide clerical, administrative, and reception support for the Central Services Division, including, but not limited to, operating the agency multi-line telephone console at Reception; answering telephone and in-person inquiries on general agency operations, programs, and functions; managing the checkout log of fleet vehicles for DEQ staff; providing clerical and administrative support to CSD managers and section staff, including copying, mailing, scanning, faxing, data entry, and composition of correspondence; scheduling meetings and training; reserving conference rooms; purchasing office supplies; preparing meeting agendas and taking meeting minutes; and coordinating the DEQ mail room operations.

What are we looking for?
Minimum Qualifications: 2 years of general clerical experience, 1 year of which included typing, word processing, or other experience generating documents.
Candidates who are most competitive will also reflect the following:

  • Experience with Microsoft Office products (Word, Excel, and Outlook); experience entering data and maintaining databases.
  • Experience with using software for records management.
  • Excellent verbal and written communication skills, interpersonal skills, customer service skills, and time management skills.
  • High aptitude for learning new things and an ability to pay attention to detail.
  • Ability to work on tight deadlines in environments with shifting priorities and demands.
  • Ability to act professionally and courteously with internal and external individuals, including coworkers, managers, other staff, and members of the public.
  • Experience with multi-line phones.
Working Conditions:
Work is conducted primarily in a fast-paced office setting with extensive daily use of a computer. Occasional statewide travel required to attend meetings, trainings, conferences, etc.
