Working in conjunction with the Logistics Manager, Operations Director & Festival Manager, and other members of the administrative team, the Faculty Assistant will work as a pivotal member of the Institute’s administrative team to aid faculty members in travel coordination, accommodations, and day-to-day needs. The Faculty Assistant acts as a liaison between faculty and staff, and connects them with resources they need to have a positive experience at the Heifetz Institute.

  • In-Person Training: 6/22/22 – 6/23/22
  • Summer Festival: 6/24/22 – 8/7/22
  • Staff Departure Date: 8/8/22

The Faculty Assistant should be an individual with strong interpersonal skills–namely effective communication and respectful demeanor. A successful Faculty Assistant will have experience working with high profile artists, as well as experience booking/arranging travel.
The Faculty Assistant will work in the Institute’s administrative offices & teaching facilities and, as such, is expected to dress in appropriate attire. Ripped jeans, mini skirts, halter-tops, tank tops, shorts, and t-shirts with graphics are discouraged during business hours and concerts.
 
Requirements for the Faculty Assistant position are as follows:
  • A high school diploma is required and a bachelor’s degree (or current enrollment in a bachelor’s degree program) in music performance, music education, or arts administration is preferred
  • Experience working with high profile artists
  • Knowledge or experience in classical music
  • Ability to complete tasks in a self-directed manner
  • Responsive and attentive to communications during expanded business hours (8:00 – 22:00)
  • Must be in possession of a current Driver’s License and have a clean driving record
  • Ability to healthily cope with stressful and demanding situations
  • A commitment to the principles of diversity, equity, and inclusion as they relate to the Heifetz Institute and its community
  • Adheres to the Heifetz Institute policies and procedures in accordance with the mission and philosophy of the program
  • Proof of up-to-date vaccination against COVID-19 with an FDA approved or authorized vaccine
 
Responsibilities of the Faculty Assistant are as follows:
  • Work closely with the Director of Operations in managing the day-to-day needs of the faculty
  • Facilitate faculty travel arrangements and airport shuttle scheduling
  • Keep faculty lounge stocked and organized
  • Communicate with Studio Assistants and Scheduling team in regards to schedule updates
  • Ensure smooth transition of faculty from week to week (collect keys, change studio signs, etc.)
  • Facilitate daily communication with faculty, including managing weekly faculty meeting
  • Plan and execute weekly faculty receptions
  • Assemble and deliver faculty packets to incoming faculty members
  • Provide administrative assistance, as needed
  • Staff concerts, concert receptions, and special events as needed

Compensation
Compensation is $2,800 for the contracted period. Housing and meals will be provided for the duration of the contract. Employment is contingent upon the signing of a contract by the Faculty Assistant and the Heifetz Institute, as well as passing a background check. The Faculty Assistant will be responsible for their own transportation costs to and from the Institute.
