Program Coordinator, Entrepreneurship

NJII's Entrepreneurship Division is looking for a detailed-oriented and proactive Program Coordinator to join our fast-paced department of former entrepreneurs and consultants. Our team of five works on various technology and innovation projects with the New Jersey Institute of Technology, local municipalities, corporations, small businesses, and other NJII divisions.

The program coordinator will support the Program Director and Executive Director of Civic Transformation in the planning, research, strategy, communications, creative development, and execution of two major projects:

New Jersey Equity in Commercialization Collective: a recent National Science Foundation ADVANCE grant program to create gender equity in research and commercialization within universities

A not-yet-public project: The second project is in the final detail phases and is not ready for public disclosure. It will be bringing new and modern technology to a publicly facing organization.

Essential Functions 
  • Manage day-to-day operations and communication of projects, including emails, calendars, documents, research tasks, shared drives
  • Assign tasks, update project management tools and follow up with internal and external team members on deliverables and deadlines
  • Create and update marketing materials including websites, email outreach, press releases, event promotion, presentation materials, etc.
  • Compile, organize, and maintain databases, documents, tools, and tasks from meetings, emails, and other communications
  • Collect, organize, and disseminate relevant data from multiple sources
  • Ensure all project deliverables are accurate, complete, and on time

Additional Functions
  • Support projects lead with special projects and presentations as needed, including research and administrative tasks
  • Attend occasional events as NJII and project representative
  • Requirements
  • 4-year degree OR equivalent relevant work experience
  • Minimum of 1-year professional work experience in an administrative support role

Knowledge/Skills Required
  • Successful track record of contributing to multiple projects from start to finish
  • Consistent ability to use independent judgment and critical thinking
  • Exceptional attention to detail, organizational, and multitasking abilities
  • Excellent client service, communication, and writing skills

Preferred Qualifications
  • Experience working in entrepreneurship, commercialization, or civic transformation
  • Experience working in a university or non-profit setting
  • Bachelor’s degree in marketing, business, or related
  • Proficiency in Microsoft Office Suite, Microsoft Teams, and ClickUp (or similar project management tools)

*Hybrid, remote. You must work in our Newark, NJ office at least 2 days per week.
