Development Associate (Database and Administration)

ABOUT THIS POSITION
Breakthrough seeks a team member whose primary role will be to manage a sophisticated Donor Database and provide general administrative support for a high functioning Development and Communications team, including: gift processing and acknowledgement, event logistics support, and Board and Development Council reporting. The Development Associate will report to and partner closely with the Associate Director while collaborating with and supporting the entire Development and Communications team.

PRINCIPAL DUTIES AND RESPONSIBILITIES
  • Maintain and act as the first point of contact for the donor database. Ensure compliance with the Donor Data Guide, suggesting revisions and improvements within policies, processes and procedures as needed.
  • Create, maintain, and execute queries and reports that track fundraising progress.
  • Ensure prompt and accurate gift entry, receipting, gratitude, and pledge management in Virtuous Donor CRM. Oversee third-party giving platforms and ensure prompt gift processing and acknowledgement.  
  • Prepare and review recurring reports including a monthly fundraising report for the Board of Trustees and the annual Fundraising Effectiveness Project (FEP) Report. 
  • Organize logistics for all development-related events and meetings. Includes schedule and supply coordination, list generation, material distribution, and follow up communication.
  • Collaborate with staff to produce lists and reports for all development mailings, e-communications, appeals, invitations, invoices, and pledge reminders.
  • Lead the monthly and annual cash reconciliation meeting with the Operations Associate and Chief Operations Officer. 
  • Provide documentation to Chief Operations Officer to assist with yearly audit. 
  • Support special projects such as donor encouragements, Amplify Austin and yearly impact report as assigned by the Associate Director of Development.

QUALIFICATIONS
  • Strong computer proficiency with fluency in MS Excel, MS Word, and Google Workspace. Willingness to learn new software and systems.
  • Demonstrated experience with data entry, data analysis and/or database management. Database experience within a fundraising environment preferred
  • Well-organized, systematic thinker. 
  • Impeccable attention to detail is a must. Recognizes the value of precision when working with data and logistics and demonstrates ability to process information with high levels of accuracy
  • Proven success prioritizing, managing, and completing projects from initiation to completion. Strong follow-through and problem-solving skills
  • Ability to communicate reliably, effectively, and courteously with fellow staff members, donors, community partners, students, and volunteers 
  • Commitment to the mission and values of the organization 
  • Strong problem solving skills with an ability to recognize, anticipate, and proactively find solutions 
  • Ability to meet deadlines consistently, work independently, multi-task, and manage time effectively 

COMPENSATION & BENEFITS  
  • Annual salary of $40,000-$52,500 commensurate with experience and qualifications.
