Willamette Events Board Treasurer (2020-2021)

Willamette Events Board (WEB) is a student organization that provides weekly events for all Willamette students (CLA and ASP). The purpose of WEB is to provide programs that compliment, respect, and respond to the Willamette University community. These programs shall be designed to be an educational experience for those involved in planning and presenting of the programs, as well as those who participate. Our goal is to sponsor, integrate and provide social, cultural, educational, recreational, and multicultural activities at Willamette University, constantly evaluating these programs and assessing the needs of the Willamette community to provide more enjoyable and purposeful life for all members of the University

Time Commitments include (but not limited to): 8 hours/week
  • Appointment begins April and ends in May of the following academic year. 
  • Shadow the current WEB Treasurer April - May 2020
  • Hire WEB team (through interview process) April - May 2020
  • Attend p-card and signatory authority training session with Accounting (TBA)
  • Attend WEB (and work) WEB events on May 2 and May 6 2020 with incoming WEB team
  • Attend NACA Summer Leadership Conference (with advisor) May 29 - June 3 2020 in Orlando, Florida 
  • Limited remote planning hours (via Zoom meeting, etc.) June - July
  • Return to campus on August 13 or 14 2020 to work in the Office of Student Activities, plan events for Opening Days, and plan for the year.
  • Volunteer for Opening Days move in on August 26 2020
  • Interview first year students for open positions in late August
  • All-staff retreat September 11 2020
  • Attend NACA West Regional Conference November 18-22 in Spokane, Washington
 
During the regular academic year, theTreasurer will be expected to work 9 hours a week; time is divided as follows:
 
  • Attend weekly board meetings (Mondays at 6 pm). Report on budget to the group each week.
  • Hold regular office hours (2-3 hours/week) in the Office of Student Activities, M-F 8 am - 5 pm)
  • Attend all chair-sponsored events (divided between the three exec members)
  • Each event will have an exec on duty (attend most weekly or bi-weekly events)
  • Attend weekly meeting with Advisor (approx 1 hour)
  • Attend ASWU Senate meetings (frequency TBA) to report on WEB’s activities and budget
 
Duties include (But not limited to):
  • Manage an annual operating and events budget of approximately $120,000
  • Allocate budgets to each WEB event
  • Track budgets for each WEB event
  • Submit ASWU funding requests each semester (for the following semester)
  • Submit check and p-card payments for events, contracts, and services
  • Approvie all WEB member budget requests and assisting with purchases
  • Closely monitor all WEB accounts for accuracy
  • Possess a Willamette University Procurement Card (p-card), reconcile monthly statements and other related tasks per Accounting policy

Qualification Standards
  • Successful clearance of a conduct record inquiry by the Office of Rights and Responsibilities
  • Maintain a cumulative grade point average of 2.5 during employment.
  • Serve as a role model to other students, upholding Willamette University’s Standards of Conduct and other stated policies.
  • Experience with a large scale budget is preferred.
  • Experience with excel (or budget management software).
  • Demonstrated exceptional communication skills.
  • Demonstrated time management (including prioritizing and organizing schedule and tasks) skills.
  • Experience with event planning and management.
 
 
Compensation
April - May 2020: $11.50/hour
June 2020 - May 20201: $12.50/hour
