Graduate Assistant

The Center for Inclusive Education (CIE) seeks an hourly Graduate Student Assistant for the 2019-2020 academic year (August 22, 2019 to June 10, 2020). We are looking for an office-savvy graduate student to assist in the management of the Center for Inclusive Education’s Programs including AGEP-T, Turner, GEM, IMSD and IRACDA.
Job description:
1) General office support to include record keeping/updating; data collection and entry; outreach to CIE community members, Answering phones and responding to email inquiries; troubleshooting and triaging problems as they arise; (requires good telephone, reception and customer service skills).
2) Administrative duties: assist with recruitment efforts such as preparing and sending supplies/promotional items for student recruitment travel. GA will be responsible for data entry of recruitment information and general follow up with prospective applicants. Assist with scanning, organization and managing of electronic files. Correspondence with students, postdocs, faculty and staff as necessary. Supporting development of the monthly CIE electronic newsletters.
3) Programmatic duties: Assist with coordination and execution of on and off campus events and provide critical support in helping to organize and run CIE functions such as socials, orientations, special events, conferences and ceremonies. Assist in planning, set-up, outreach, documentation, clean-up, etc. Communicate with event vendors (caterers, transportation companies and other campus community offices). Help organize program activities for students, staff, faculty and prospective Stony Brook graduate students. Assist with the preparation of event reports and attendance.
4) Website maintenance and updates using the OU campus Content Management System.
5) Supporting updates of the CIE’s social media site content, including event announcements and photo libraries (Facebook, LinkedIn, Twitter and YouTube). Ensuring that CIE event calendars are current.
6) General office help: filing, on-campus deliveries, greeting and assisting walk-ins and keeping the Center presentable.
7) Other duties as needed related to backstopping other areas of programming activities within the Center, such as setting-up for events, mass mailings, data entry, reception duties and other duties as assigned. 
The most qualified candidate for this position will have excellent computer skills, database maintenance and query building (Sharepoint) and other MS applications (Word, PowerPoint, Excel, etc.). Experience with Stony Brook’s web content management system preferred. We seek a committed GA with good sense of discretion and a desire to advance the mission of the CIE. Attention to detail and ability to work in a fast-paced work environment are musts.
