P1800162 - Staff Assistant - Pharmaceutical Sciences

Position Summary:
The Pharmaceutical Sciences Department in the School of Pharmacy and Pharmaceutical Sciences seeks an experienced and highly responsible professional to serve as Staff Assistant to work closely with various university departments that have a vested interest in student recruitment and retention, and departmental efficiency. This position provides high level support for which the incumbent must exercise sound and independent judgement in support of the Department Faculty, Staff, and Students. This self-directed professional will perform tasks and responsibilities that maximize the effectiveness of the Chair and Department and ensure that the mission of the school is carried out. They must be able to independently manage the day-to-day work flow, along with prioritizing various projects. Examples of the work to be performed include, but are not limited to:

•Function as a work leader to direct office activities. Prioritize and address activities of the office and work with the Department and the dean, his executive staff, department chairs as well as the President, Provost and Dean’s offices and external constituencies. Interact regularly and diplomatically with a diverse group of internal and external constituents, and domestic and international students
•Develop and maintain a high level of efficiency as a user of Hub, Siri, Ereq, and Eptf, the university’s student records database, personnel, and purchasing systems
•Develop and maintain student database, that includes all academic milestones in coordination with the Hub database and report generation in support of various student confidential activities
•Monitor revenue and expenditure transactions utilizing State, IFR, UB Foundation and Research Foundation accounts, from initiation to completion, using appropriate mechanism and funding source
•Budget management of departmental office operating budget including the oversight of expenditures and providing reports. Maintain a high level of efficiency utilizing the University’s financial systems

Minimum Qualifications:
•Bachelor’s Degree in related field or an equivalent combination of education and experience.
•Proficiency with Microsoft Office, specifically advanced knowledge of Outlook, Word and Excel
•Strong interpersonal communication skills, including verbal and written, active listening and critical thinking. Ability to communicate clearly and respectfully with diverse populations including faculty, senior leadership, staff, students, alumni and guests.
•Ability to handle restricted and sensitive information in accordance with school and university policies. Ability to maintain confidentiality, attention to detail, and accuracy in all areas of responsibility.
•Possess a strong sense of accountability and be self-motivated. Must be able to work independently with minimal direction and exhibit good judgment.

Preferred Qualifications:
•Responsibility with special projects, supporting faculty and senior staff in a fast paced environment.
•Experience and analytical skills to prioritize workload while ensuring multiple simultaneous projects are completed within expected deadlines.
•Experience with University at Buffalo policies, procedures and online systems (such as e-PTF, e-Req, SIRI, PIAI, UBFirst, UBJobs, HUB, Concur)
•Experience working in a Academia and/or Research environment
