Legal Secretary, Litigation

JOB SUMMARY
Kutak Rock is seeking a full-time Legal Secretary to join the Litigation Department in its Minneapolis office. The Legal Secretary will work with partners, associates, staff and clients in Minneapolis and throughout the country in a very busy litigation practice. The ideal candidate will have experience working on federal and state court litigation, and arbitration.

This position is a full-time (Monday-Friday, 37.5 hours), hybrid position with a rotating 3:2 in-office schedule
 

 

RESPONSIBILITIES 

  • Draft, prepare, proofread and process pleadings, discovery, briefs, and correspondence
  • Assist with trial preparation
  • Docket case deadlines and daily mail
  • Electronically file and handle service of pleadings according to the local rules in state and federal court
  • File maintenance and organization
  • Answer telephones
  • Use Microsoft Office applications
  • Handle client matters (when appropriate) through telephone and e-mail
  • Use Intapp Time (software package) for time and expenses
  • Keep record of attorney’s time and expenses and submit to Accounting Department in a timely fashion; recap expense memoranda and other miscellaneous accounting projects as assigned
  • Maintain work calendars by scheduling appointments, conference calls and other meetings
  • Prepare travel, hotel and car arrangements 
  • General office duties, such as preparing copies, printing e-mails and documents
  • Organize and maintain extensive sets of files, both paper and electronic
  • Use FileTrail (software package) and organize/maintain sets of files
  • Communicate timely and effectively with attorneys and staff via multiple methods (in-person, phone, email, instant message, etc.)
  • Backup staff support in litigation and other departments
  • Other duties as assigned

     

QUALIFICATIONS: Skills and Abilities

  • Advanced knowledge of Microsoft Word and working knowledge of Power Point and Excel
  • Experience in electronic filing (E-Filing) in both state and federal courts
  • Excellent writing, proofreading, grammar and spelling skills
  • Strong organizational skills
  • History with quality control and fastidious attention to detail
  • Ability to work well under the pressures of deadlines and prioritize assignments
  • Ability to work independently and collaboratively 
  • Ability to take ownership of tasks and problem-solving even in the absence of specific direction
     

 

QUALIFICATIONS: Education and Experience

  • 4+ years of experience as a litigation secretary in a law firm, in-house litigation department or other litigation environment
  • Experience managing multiple litigation files simultaneously
  • Experience assisting with the preparation for depositions, hearings, and trial
     

 

Position Information

Status: Non-Exempt 

Salary Range: $55,000-$85,000 per year, salary offers are commensurate with education, experience, and office location. 

Work Arrangement: Hybrid 3:2 hybrid status begins after a period of training and once approved
