We are seeking an Administrative Services Assistant to join a public health program team. This role directly supports the Communications & Continuous Quality Improvement (CQI) Manager by assisting with outreach initiatives, internal communications, process improvement efforts, and core administrative responsibilities.
Key Responsibilities
- Provide day-to-day administrative support, including preparing reports, forms, documentation, and managing project logistics.
- Assist in the creation, layout, and print requisition of informational handouts, forms, and program collateral.
- Support internal and external communications by assisting with the draft and submission of social media posts and the compilation/distribution of a quarterly internal newsletter.
- Maintain and update content across SharePoint, network shared drives, and assigned program databases.
- Conduct regular reviews of public-facing web pages and print materials, recommending updates to maintain accuracy and alignment with program standards.
- Support continuous quality improvement by assisting with surveys of staff and program participants to identify and implement workflow enhancements.
- Ensure all administrative functions adhere strictly to established state and federal policies, guidelines, and regulations.
Required Qualifications
- Education & Experience: Associate degree AND at least one (1) year of increasingly responsible full-time professional administrative experience (relevant sub-professional or paraprofessional experience may substitute for the degree requirement on a year-for-year basis).
- Residency: Must be a current resident of the state of Tennessee at the time of hire.
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
- Communication: Strong verbal and written communication skills with the ability to coordinate across cross-functional teams, agency leadership, and external partners.
- Work Style: High attention to detail, strong organizational habits, and the capability to execute tasks independently with minimal supervision.
- Experience using graphic design and content creation tools (e.g., Canva, Adobe Creative Suite).
- Familiarity with document remediation software (e.g., Allyant CommonLook) and digital accessibility (ADA compliance) standards.
Work Environment & Details
- Work Arrangement: Hybrid schedule requiring weekly in-person reporting to the Nashville, TN facility. In-person attendance is mandatory on Day 1 for equipment deployment and orientation.
- Background Check: Candidates must successfully clear comprehensive background screenings prior to onboarding.

- Work Schedule: Monday – Friday, 8:00 AM – 4:30 PM CST (37.5 hours/week)
