Operations Manager - Baltimore, MD
The ideal candidate will possess strong leadership, organizational, communication, and financial management skills with the ability to successfully manage schedules, budgets, subcontractors, vendors, and client relationships. This position plays a critical role in ensuring projects are completed safely, efficiently, on schedule, and within budget while maintaining the high standards and reputation of our company.
Responsibilities:
- Construction Management Assistance including processing Submittals, RFIs and field reports. Ability to work with/learn use of related online construction management software (i.e. Procore, PMWeb, Ebuilder).
- Work with Management to respond to client RFP’s, including compilation of team resumes and marketing materials, tailoring drafts to individual requirements, requesting COIs, etc.
- Oversee and monitor workloads in the office and oversee employee lifecycle (recruitment, hiring, performance management, etc.) whilst being the liaison for KWA’s HR third party alongside principals.
- Provide executive support to principals by coordinating schedules, managing meetings, confirming availability, handling communications, etc.
- Support the creation of a work environment that fosters openness, trust, communication, teamwork, empowerment, innovation, and job satisfaction to maintain efficient operations.
- Manage multiple active projects simultaneously while maintaining project schedules and budgets.
- Create, process, and track building permits for projects pre-construction.
- Coordinate project schedules, deliveries, fabrication timelines, and field operations.
- Communicate effectively with customers, vendors, subcontractors, superintendents, and internal departments.
- Monitor daily job costs including labor, materials, and production, which includes regularly tracking project hours for ongoing jobs.
- Identify, document, price, and process contractual work including change orders, additional services requests, and more.
- Manage risk related to projects including but not limited to reviewing essential contractual documents to ensure fully executed prior to commencing work, monitoring adherence to corporate risk policies and practices, providing alternative methods and ideas for more efficient operations, etc.
- Coordinate and organize company events, including two annual employee events, vendor lunch-and-learns, and other office activities.
- Submit all monthly invoices via client-preferred online payment system. (i.e. GC Pay, Textura, Trimble, Paymode, etc.)
- Crosstrain in various office management functions and provide backup support for payroll and tax processing, invoicing and billing, 401(k) contributions, and other accounting-related tasks.
- Provide day-to-day administrative and office management support, including answering phones, ordering and maintaining office supplies, and maintaining company vehicle records.
- Typing and editing of MEP specifications as required.
- Other duties as assigned or operational needs as they arise
Qualifications:
Required
- 3–5 years of relevant experience in operations/project/event management, operations, or related field.
- Bachelor’s degree required, preferably in Business, Accounting, Communications, Marketing, Hospitality, Project Management, or other related field; Master’s degree preferred.
- U.S. citizenship for purposes of obtaining clearances.
- Highly adaptable to help the organization achieve more efficient & effective project coordination and delivery, including monitoring the production list and meeting with Engineering Project Mangers.
- Demonstrated interpersonal and communication skills, with the ability to effectively convey information through written and verbal communication.
- Self-starter, organized, and collaborative, with the ability to take initiative and work independently.
- Demonstrated supervisory experience in planning, scheduling, and complex projects.
- Notary or willing to become Notary (sponsored by KWA).
- Significant understanding of managing multiple projects and tasks simultaneously in a fast-paced environment.
- Maintain confidentiality of sensitive company and employee information.
- Proficient knowledge of Microsoft word, excel, and windows are required. Advanced training can be made available.
- Possess a current state-of-residence driver’s license.
Preferred
- Understanding of consultant, engineering, contracting industries a plus.
- Working knowledge of accounting and/or financial processes, softwares, policies.
- Construction Management software experience (Procore, eBuilder, PMWeb, etc.)

Work Environment:
- Fully in-office, working hours are 8:00 am to 5:00 pm, with a 1-hour lunch break 12:00 to 1:00 pm
- Potential for flexible working hours, if discussed with principals.
- 95% of the time will be in the office, may be an occasional site visit.

Compensation Range: $54,000-$69,000, commensurate with experience, abilities, and production.
