Manager - Foundation Community Impact

For nearly two decades, Prolanthropy has helped foundations achieve their philanthropic goals through expertise in fiduciary oversight, governance, events, programming, and marketing.

 

POSITION SUMMARY

The Manager – Foundation Community Impact Program Operations is responsible for the day-to-day coordination and execution of Foundation Community Impact Programs and the administrative processes that support them. The Manager helps turn each Foundation’s annual plan into well-organized, on-budget programs that create exceptional experiences for beneficiaries.

 

This role is well suited for an early-career professional who is highly organized, dependable, eager to learn, and interested in nonprofit operations, event coordination, and sports philanthropy. The Manager works closely with internal teams, beneficiaries, vendors, contractors, and other partners and travels to program locations to support on-site execution.

 

This full-time, salaried position reports to the Chief Experience Officer and is based at Prolanthropy headquarters in Florence, Kentucky.

 

KEY RESPONSIBILITIES

•  Beneficiary Experience: Deliver “Rock Star” experiences for beneficiaries through thoughtful, fundable, scalable, and cost-conscious program execution.

•  Program Execution & Health: Execute Community Impact Programs on schedule and within approved budgets, consistent with each Foundation’s Annual Plan for a Healthy Foundation.  This would include successfully delivering any benefits included for sponsored programs.

•  Beneficiary Coordination: Identify, secure, communicate, and coordinate beneficiaries for Community Impact Programs.

•  Vendor & Partner Management: Build and manage productive relationships with partners, vendors, and contractors; coordinate contracts, deliverables, performance, and timelines.

•  Financial Documentation & Budget Management: Develop and maintain accurate and organized program financial records, including receipts, invoices, purchasing records, and budget workbooks.

•  Program Purchasing: Coordinate and complete program-related purchasing in accordance with approved budgets and organizational procedures.

•  Impact Tracking & Reporting: Track program activity, outcomes, and annual impact information accurately and on time.

•  On-Site Operations: Travel to program locations and manage on-site logistics and execution to help ensure a positive professional experience for all participants, clients, stakeholders, donors and volunteers.

•  Team Support: Collaborate across the organization, communicate clearly, and support corporate and Foundation priorities as needed.

 

WHAT SUCCESS LOOKS LIKE

•  Community Impact Programs are executed, meeting the impact targets, including on time, within budget, aligned with the Foundation’s Annual Plan to Prolanthropy’s Rock Star standards.

•  Beneficiaries receive a consistently exceptional experience, which we call a Rockstar Experience.

•  Program financial documentation, purchasing records, and impact reporting are timely, accurate, complete, and well organized.

•  Vendors, contractors, partners, and internal team members receive timely and clear communication and reliable follow-through.

•  The Manager demonstrates alignment with Prolanthropy’s Core Values, a strong work ethic, sound judgment, and a willingness to “jump in” where needed.

 

QUALIFICATIONS

•  1–3 years of experience in program coordination, event coordination, nonprofit work, or a related field; relevant internships may count toward experience.

•  Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.

•  Strong written, verbal, and interpersonal communication skills.

•  Detail-oriented, accountable, dependable, and comfortable following established processes while developing greater independence.

•  Ability to work effectively with beneficiaries, vendors, partners, contractors, and internal team members.

•  Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.

•  Interest in philanthropy, nonprofit work, sports, event management, or community impact.

•  Basic experience with vendors, purchasing, budgets, or event logistics preferred.

•  Ability to adapt, take initiative on assigned responsibilities, and contribute positively in a fast-paced, team-focused environment.

•  Ability to lift up to 30 pounds and work extended or non-traditional hours, including evenings and weekends, when required for calls, meetings, programs, or events.

•  Ability to travel approximately 40 to 50 days per year.

•  Must be legally authorized to work in the United States.

•  Willingness to complete pre-employment assessments, such as DISC, Tri-Metrix, Working Genius, or similar assessments.
