Data Support Administrator

 

Position Summary

The Data Support Administrator supports GI Psychology's clinical outcomes program by extracting, entering, and organizing patient data from the practice's EHR into outcomes tracking systems. This role plays a key part in ensuring accurate, reliable data that supports clinical quality, research, and reporting efforts. The ideal candidate is detail-oriented, comfortable working independently in a remote setting, confident managing sensitive patient information with discretion and care, and energized by building and improving spreadsheet-based systems. This is a fully remote position.


Compensation:  This is a stipend-based position, not a salaried or hourly position. A stipend will be provided based on experience.

Position-Specific Required Skills

  • Advanced, systems-level fluency in Google Sheets/Excel: able to design and build spreadsheet structures from scratch (not just use existing ones) using formulas, linked sheets, pivot tables, and automation (e.g., scripts, macros, conditional logic) to streamline data flow and reduce manual work across teams.
  • Skilled at consolidating and cross-referencing data across multiple sheets or sources to produce clean, unified datasets.
  • High accuracy and attention to detail when entering and reviewing clinical and demographic data.
  • Comfortable navigating and extracting information from electronic health record (EHR) systems and other clinical data platforms.
  • Able to independently manage recurring data entry tasks with consistent quality, even with minimal day-to-day supervision.
  • Recognizes data inconsistencies or irregularities, investigates likely causes, and proposes a fix or process adjustment.
  • Manages time effectively to complete data tasks within a part-time, flexible schedule.

Essential Duties/Responsibilities

  • Extract and enter patient data from the electronic health record (EHR) into an outcomes tracking database.
  • Export and organize patient demographic and clinical data using Google Suite.
  • Score and track clinical outcome measures used in psychology private practice (e.g., GAD-7, PHQ-9, PROMIS measures).
  • Maintain consistent data entry and formatting standards to support accurate statistical analysis.
  • Review data for missing information, inconsistencies, duplicate records, and other data quality issues.
  • Flag data discrepancies or concerns to the appropriate team member in a timely manner.

Language Skills

  • Ability to read, analyze, and interpret data documentation, instructions, and reference materials.
  • Ability to respond effectively to sensitive inquiries or complaints.
  • Ability to write clear, well-organized data summaries and process notes.
  • Ability to present information effectively and respond to questions from team members and clients.

Required Education and Experience

  • At least two semesters of successful coursework or experience in a quantitative field such as data science, business analytics, statistics, economics, finance, or mathematics.
  • Experience using or learning electronic health record (EHR) platforms, and comfort navigating different data management systems.
  • Demonstrated experience building or maintaining spreadsheets/databases for a job, class project, organization, or significant personal use (not just casual/basic use).
  • Experience with Google Apps Script, Claude, SQL, Excel macros/VBA,, or similar automation tools is a plus.

Work Location

  • Fully remote/virtual from the intern’s own site.
  • Intern is responsible for providing a private and confidential workspace.
  • Intern is responsible for maintaining a fully operational and secure computer capable of running necessary internet-reliant software (required software is provided by GI Psychology).

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
