Position Summary:
UBMD Pediatrics, in the Department of Pediatrics in the Jacobs School of Medicine and Biomedical Sciences at the University at Buffalo (UB) is actively recruiting for a full-time multi-divisional Research Operations Coordinator to provide embedded administrative and operational support for research activities located on the South Campus. The position will primarily support the Division of Behavioral Medicine while also providing coordinated support for the Institute for Autism Research (IAR), Genetics research programs, and the Neonatology Sheep Lab.
The position works collaboratively with Sponsored Projects and departmental administration but does not perform the pre-award or post-award sponsored research administration responsibilities assigned to those functions. The role focuses on research project coordination, regulatory administration, personnel and trainee support, research space and facilities administration, and other operational needs necessary to support research activities.
Key Responsibilities include:
Research Project and Proposal Support
- Coordinate grant application materials, deadlines, supporting documentation, SciENcv, biosketches, Other Support, CVs, and other required forms.
- Assist with coordination of human subjects and other research-related proposal and regulatory components (IRB, IACUC).
- Coordinate information and documentation needed for annual progress reports and sponsor communications.
Research Personnel and Trainee Coordination
- Coordinate administrative support for undergraduate and graduate students, postdoctoral fellows, research staff, and volunteers.
- Assist with recruitment, hiring coordination, onboarding, appointments, required training, and personnel documentation.
- Maintain faculty CVs, bibliographies, and other professional documentation.
Research Space and Facilities
- Coordinate research space needs and serve as a liaison with University and departmental facilities personnel.
- Submit requests and follow up on repairs, maintenance, adjustments, access, and other facilities requests.
- Support space utilization, reservations, and operational needs for laboratories and research programs.
Research Operations and Administrative Coordination
- Coordinate research meetings, schedules, documentation, and communications.
- Collaborate closely with Sponsored Projects and Departmental Administration to ensure appropriate coordination and handoff of responsibilities.
- Provide other research-related operational support that does not duplicate centralized pre-award or post-award sponsored research administration.

UBMD Pediatrics is one of 16 practice plans within UBMD Physicians’ Group, the single largest medical group in Western New York. We provide premier health care to infants, children, adolescents and adults. In addition to primary care pediatrics, we have 15 pediatric subspecialties. Our physicians make up the academic teaching faculty within the Department of Pediatrics at the Jacobs School of Medicine and Biomedical Sciences at the University at Buffalo and Golisano Children’s Hospital.

Minimum Qualifications:
- Relevant administrative, research coordination, project management, or operational experience.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
- Ability to work both independently and collaboratively with faculty, research personnel, trainees, and administrative staff.
- Proficiency with standard office software and the ability to learn University and research-related systems.
Preferred Qualifications:
- Experience in an academic, clinical, biomedical, or animal research environment.
- Familiarity with NIH research documentation and reporting requirements.
- Experience supporting IACUC and/or IRB administration.
