Position Description

The Bozzuto Center for Entrepreneurship (BCE), in partnership with the Music Department, seeks a dynamic and motivated student to serve as the Music Administration & Guest Artist Concert Series Intern. Based in the Gearan Center for the Performing Arts and supervised by Professor Mark Olivieri, the intern will gain hands-on experience in arts administration, artist relations, event production, marketing, communications, and community engagement.

The intern will support the Music Department's Guest Artist Concert Series (GACS), including the administration of the current series and advance planning for the following academic year. The position is ideal for a student interested in music administration, arts management, marketing, communications, event management, or careers in the creative industries.

 

Duties and Responsibilities

Artist Relations and Concert Series Planning

  • Serve as an initial point of contact with prospective guest artists and artist managers for the following year's Guest Artist Concert Series.
  • Assist with professional correspondence, scheduling, and coordination with artists and their representatives.
  • Work with the Academic Department Coordinator (i.e., Lara Schmidtgal) and stakeholders to identify and coordinate potential concert dates for the following academic year.
  • Coordinate with Academic Department Coordinator and Gearan Center stakeholders to reserve appropriate performance spaces for future Guest Artist Concert Series events.
  • Maintain records related to artists, prospective bookings, scheduling, and concert-series planning.

Marketing, Communications, and Audience Development

  • Draft press releases and promotional materials for outlets including the Finger Lakes Times, CITY Magazine, WXXI, WHWS, and appropriate HWS communications channels.
  • Create and maintain concert listings for the HWS Calendar of Events and other relevant calendars.
  • Design and distribute posters, flyers, announcements, and promotional materials.
  • Create content for and update social media related to the Guest Artist Concert Series.
  • Develop and maintain a community email listserv to strengthen communication with regional audiences and supporters.
  • Help expand awareness of the Guest Artist Concert Series both on campus and throughout the greater Geneva and Finger Lakes communities.

Concert Production and Event Administration

  • Create professional concert programs and other event materials.
  • Assist with front-of-house and Box Office responsibilities during Guest Artist Concert Series performances.
  • Ensure that artists, guests, and audience members have a welcoming and professional experience.
  • Coordinate audio recording needs with Professor Mariano and video recording needs with HWS Information Technology.
  • Provide logistical and administrative support before, during, and following concert events.

Entrepreneurship and Professional Development

  • Apply entrepreneurial thinking to help strengthen the visibility, reach, and sustainability of the Guest Artist Concert Series.
  • Identify opportunities for creative problem-solving, audience engagement, and collaboration between the Music Department, the Bozzuto Center for Entrepreneurship, HWS, and the surrounding community.
  • Reflect on experiences and use feedback to support continued personal and professional growth.

Additional Responsibilities

  • Attend periodic planning meetings with the supervisor and other HWS stakeholders.
  • Support additional Guest Artist Concert Series and Music Department projects as needed.
  • Perform other duties as coordinated with the Music Department Chair and the Bozzuto Center.

 

Qualifications

  • Strong organizational and time-management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to communicate professionally with multiple internal and external stakeholders. 
  • Demonstrated reliability and ability to manage multiple responsibilities and deadlines.
  • Ability to work both independently and collaboratively.
  • Creativity, initiative, and willingness to learn.
  • Familiarity with Microsoft Office, Google Drive, social media, and relevant technologies.
  • Interest in music, arts administration, communications, marketing, event management, etc.

 

Preferred Qualifications

  • Previous experience with music, performing arts, event planning, marketing, communications, or student organizations.
  • Experience creating promotional or social media content.
  • Strong writing and editing skills.
  • Interest in arts entrepreneurship, music administration, or careers in the creative industries.
