Compensation: $55,000–$65,000 plus healthcare, four weeks PTO, and retirement benefits after one year

Sharp Pen Media is a fast-growing marketing and communications agency serving adtech companies. We are hiring a Client Operations Specialist—a role for someone who wants to learn how a high-performing agency operates.

You will work alongside account managers and the CEO to turn client conversations into reliable execution, strengthen the systems behind client delivery, and help us roll out better ways of working across the company. You will be in front of client CEOs on day one. Strong performers can grow into operational leadership, client delivery, or strategy roles.

What you’ll do

  • Turn client calls, emails, and internal conversations into clear next steps; coordinate agendas, notes, follow-ups, owners, and deadlines.
  • Maintain accurate, actionable client projects in Asana, including owners, deadlines, dependencies, status, and definition of done.
  • Follow up with clients and team members for missing inputs, approvals, and decisions; flag unclear ownership, weak handoffs, and capacity conflicts.
  • Identify stalled work, delivery risks, and recurring process problems early; escalate them with a proposed path forward and help implement better practices.
  • Use AI and core tools including Gmail, Google Drive, Slack, Zoom, and Asana to make the organization faster, clearer, and more reliable.

What you’ll bring

  • Exceptional critical thinking, attention to detail, written English, and client-facing judgment. We care far more about these qualities than prior agency or project-management experience.
  • A Driver mindset: you notice what is missing, take ownership, and move work forward without waiting to be managed.
  • Comfort learning new systems quickly, including Asana and AI tools such as ChatGPT or Claude. You must check the work, not blindly trust the output.
  • A direct but tactful follow-up style. You can ask, “What is the plan, who owns it, and when will it be done?” without creating friction.
  • Comfort in a startup environment where priorities change quickly and urgency is normal.

You might be a strong fit if you watch The Pitt and think: “I would be good at that.” You enjoy triage, stay calm when plans change, and like helping a talented team perform at its best.

Account leads own client strategy, quality, and substantive decisions. You own the operating system: visibility, coordination, follow-through, and escalation. When execution breaks down, you make the gap visible and help us improve the system.
