Summer Camp Operations Coordinator

Administrative & Morning Coordinator Support - Operations

Seasonal Contract | Approximately 20–25 hours/week during camp season
Chester Springs, PA + occasional travel to camp locations
2027 Summer Season | June through August
Pay: $18–$19/hour, based on experience

About Brandywine School of Wizardry

Brandywine School of Wizardry, part of Brandywine Learning Center, has been creating immersive summer experiences for children for more than two decades. Our programs combine imagination, storytelling, hands-on learning, games and challenges for children ages 6–15.

Our summer programs operate at multiple locations throughout Chester, Montgomery and Delaware Counties and the Philadelphia area.

The Position

We are looking for an exceptionally organized person to serve as our Part-Time Summer Camp Operations Coordinator.

This position works alongside our Lead Summer Camp Coordinator but has a different focus: keeping the administrative and recurring operational details of camp organized so that each day and each location are ready to go.

Most summer hours are concentrated in the morning, though there is flexibility in this, making this potentially attractive to a teacher, graduate student, education professional or other candidate who wants meaningful seasonal work without taking on a full-time summer schedule.

This is not simply a desk job. Some days involve rosters and communications; others may involve helping with morning check-in, preparing supplies, delivering something to a camp location or helping solve a last-minute problem.

What You'll Be Responsible For

Camp Administration

  • Prepare, review and update weekly camper rosters.
  • Maintain attendance and other camp records.
  • Help organize staff schedules, location information and program documentation.
  • Prepare routine parent and staff communications.
  • Keep camp files, forms and shared electronic records organized and current.

Morning Camp Operations

  • Help make sure each camp day starts ready.
  • Support Monday check-in and first-day logistics.
  • Confirm that staff have the information and materials they need.
  • Identify missing information, materials or paperwork before they become larger problems.
  • Communicate important updates to the Lead Coordinator and office.

Materials & Inventory

  • Help prepare and organize curriculum materials and camp supplies.
  • Track inventory and identify items that need to be replenished.
  • Prepare materials for upcoming camp weeks and locations.
  • Assist with occasional delivery or transport of supplies.

Communication & Documentation

  • Assist with routine communications to families and staff.
  • Help maintain camp documentation and archives.
  • Organize and upload approved camp photos and program materials to designated shared storage.
  • Make sure information is transferred accurately between the office and camp operations.

Camp Support

  • Assist the Lead Coordinator with special projects, location preparation and occasional camp set-ups.
  • Travel to camp locations when operational support is needed.
  • Occasionally assist with a camp group or activity if unexpected staffing circumstances arise.

What We're Looking For

A strong candidate will be:

  • Extremely organized and detail oriented.
  • Dependable and consistent about completing tasks.
  • Comfortable working independently once procedures are established.
  • Good at noticing missing information and following up on it.
  • A strong written and verbal communicator.
  • Comfortable with spreadsheets, Google Workspace, Microsoft Office and shared electronic files.
  • Comfortable working around children, parents and camp staff.
  • Able to shift between administrative work and hands-on operational tasks.
  • Calm when schedules or priorities change.
  • Able to work collaboratively with a Lead Coordinator while taking ownership of assigned responsibilities.

Experience in education, camps, recreation, administration, youth programs or program coordination is helpful.

A valid driver's license and reliable transportation are required because occasional travel between our Chester Springs office and camp locations may be necessary.

Schedule

During the primary summer camp season, this position is expected to average approximately 20–25 hours per week.

Most hours are expected to be during weekday mornings, depending upon camp needs. One day each week may involve a longer shift for preparation, transitions and upcoming-week set-up.

Some pre-season preparation and occasional weekend or off-site set-up work may also be required.
