Lead Summer Camp Coordinator – Operations & Program Management

Seasonal Contract | Approximately 35–40 hours/week during camp season
Chester Springs, PA + camp locations throughout the region
Pay: $22 per hour

About Brandywine School of Wizardry

Brandywine School of Wizardry, part of Brandywine Learning Center, has been creating immersive summer experiences for children for more than two decades. Our programs combine imagination, storytelling, hands-on learning, games, challenges, and a little theatrical magic for children ages 6–15.

During the summer, our camps operate at multiple locations throughout Chester, Montgomery and Delaware Counties and the Philadelphia area.

The Position

We are looking for a highly organized, capable and resourceful Lead Summer Camp Coordinator to manage the day-to-day operations of our 2027 camp season.

You will work with the office staff before the season to prepare camps and then become the primary operational lead once summer begins and the person who knows what is happening across camp. On any given day, you might be checking in with counselors, solving a staffing issue, preparing an off-site location, answering a parent question, delivering materials, helping adapt an activity, or figuring out how to handle something nobody anticipated.

The position is best suited for someone who is calm under pressure, excellent at following through, comfortable leading others, and genuinely enjoys making complicated things run smoothly.

What You'll Be Responsible For

Camp Operations

  • Serve as the primary day-to-day operational coordinator during the summer camp season.
  • Maintain the big-picture understanding of schedules, staff, campers, locations, materials and special circumstances.
  • Coordinate opening, closing, set-up and transition needs at camp locations.
  • Travel between camp locations as needed throughout the season.
  • Work with the Director to identify problems early and make sure they are resolved.

Staff Leadership

  • Help prepare and orient camp counselors, assistants and student leaders before the season.
  • Provide daily direction and support to camp staff.
  • Monitor staff responsibilities and performance.
  • Troubleshoot staffing concerns, absences and unexpected situations.
  • Step into a camp group or activity when necessary, although regular counseling is not the primary function of this position.

Location & Program Support

  • Serve as a contact between Brandywine School of Wizardry and off-site locations.
  • Make sure materials, lessons and supplies reach the correct locations.
  • Help adapt activities when facility limitations, enrollment or unexpected circumstances require changes.
  • Support first-day check-in and other high-volume transition periods.

Problem Solving

  • Respond calmly and appropriately to parent concerns, staff issues, scheduling problems and unexpected camp situations.
  • Make practical decisions within established camp procedures.
  • Know when an issue can be handled independently and when it needs to be escalated to the Director.

Pre-Season Preparation 

  • Participate in camp planning and preparation during the spring (if available at this time).
  • Assist with staff orientation and curriculum review.
  • Help prepare locations, supplies, schedules and materials for opening day.

What We're Looking For

A strong candidate will have:

  • Previous leadership, camp, education, recreation, event, youth-program or similar experience.
  • Experience working with children or teenagers in a structured environment.
  • Excellent organizational and follow-through skills.
  • The ability to manage several moving pieces without losing track of details.
  • Strong written and verbal communication skills.
  • Sound judgment and the ability to stay level-headed when plans change.
  • Confidence providing direction to staff while maintaining a positive environment.
  • Comfort using Google Workspace, Microsoft Office and other basic technology.
  • A valid driver's license, reliable transportation and the ability to travel between camp locations.
  • The ability to transport and lift bins, supplies and camp materials associated with program set-up.
  • Availability for pre-season preparation and orientation and for the majority of the summer camp season.

Previous camp-director experience is helpful but not required. We are equally interested in candidates whose experience in education, youth programming, recreation, events or operations demonstrates that they can successfully manage this type of environment.

Schedule

During the main summer season, this position is expected to average approximately 35–40 hours per week.

Campers are generally in program Monday through Friday during the day, but the Coordinator's hours are deliberately staggered around camp operations. Some days begin early, others begin later, and occasional evening or weekend set-up work is required. The needed times are flexible to varying schedules to a certain extent.

This is not a standard 9-to-5 desk position.

Because camps operate at multiple locations, flexibility during the summer is essential.
