Administrative and Program Coordinator

ADMINISTRATIVE and PROGRAM COORDINATOR

 

Organizational Description:

NICOS Chinese Health Coalition is a public-private-community partnership of more than 30 health and human service organizations and concerned individuals. The mission of NICOS is to enhance the health and well-being of the San Francisco Chinese community. Since 1985, NICOS has been engaged in advocacy, research, training, coalition-building and program implementation for the benefit of this population and the organizations that serve it.

 

Position Summary:

Under the supervision of the Executive Director, the Administrative and Program Coordinator is primarily responsible for assisting with the overall day-to-day smooth functioning of office and agency operations. The Administrative and Program Coordinator: provides administrative and clerical support; provides client support; conducts payroll, benefits and human resource administration; performs bookkeeping functions; facilitates communication with board, staff and partners; runs errands; assists with projects and programs, including support for healthcare enrollment and navigation services. This is a full-time position, but may be adjusted to part-time based on the candidate’s needs (30-40 hrs/wk).

 

Compensation: $24 - $27/ hr + benefits

 

Duties and Responsibilities:

  • Provide administrative and programmatic support to overall agency operations and management staff, including general day-to-day administrative and clerical support such as reception, communications, inventory management, equipment upkeep, facilities maintenance, errands
  • Develop and maintain administrative, operations and recordkeeping systems
  • Conduct human resource and payroll administration
  • Perform bookkeeping duties including A/P, A/R utilizing Quickbooks
  • Respond to phone calls/emails and provide client support; organize, schedule meetings and appointments
  • Assist with event planning and implementation, including onsite support as needed for workshops, trainings, meetings, conferences/ teleconferences
  • Provide agency communications; maintain databases, listservs
  • Provide programmatic support, including healthcare enrollment and navigation services to agency clients
  • Assist in conducting community outreach and promotion
  • Compile minutes, reports, presentations, proposals, and other documents
  • Contribute to the development of a team effort encouraging growth, professionalism, and active participation of all staff, interns and volunteers
  • Perform other duties as requested by the Executive Director and/or other members of the NICOS Management Team

Desired Qualifications:

  • Bachelor's degree in Business Administration, Public Administration, Public Health or related fields preferred; year(s) of relevant work experience may be substituted for year(s) of equivalent education
  • Experience with administrative/ office support preferred, preferably in a nonprofit setting
  • Knowledge of booking/QuickBooks strongly preferred
  • Excellent organizational, analytical and interpersonal skills required
  • Excellent verbal and written communication skills required
  • Good time management skills and ability to multi-task and prioritize work
  • Proficiency with PC (Windows 11) and computer environment/ software applications, including Word, Excel, Publisher required
  • Bilingual English/Chinese (Cantonese preferred, Mandarin a plus) strongly preferred; biliterate and ability to typeset in Chinese desirable
  • Ability to gain certification as a Covered California Certified Enrollment Counselor required
  • Share in the values and mission of the organization
  • Ability to support and implement the goals and objectives of NICOS and its projects
  • Willingness to work nights and weekends as needed
  • Have access to reliable transportation; willingness to travel within the San Francisco Bay Area
