Accounting and Administrative Coordinator

We are L.A. Build Corp and construction is our passion! We are a construction company for new residential homes, based in Woodland Hills, CA and we are seeking an experienced Accounting & Administrative Coordinator for residential construction projects in the Los Angeles area. 

 

The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office, QuickBooks, various office equipment and other productivity applications. Our office takes a team-based approach, the responsibilities are not limited to the list provided, we cover for each other and do what is necessary to keep the work going smoothly.

 

Key Responsibilities

Communication: 

  • Monitor company email and phone system throughout the day; respond to and follow up on vendor, subcontractor, and internal requests.

Payments & Documentation: 

  • Release payment to subcontractors on a weekly basis
  • verify required subcontractor documentation and follow up on anything missing. Coordinate waiver signatures via Zoho, save completed waivers to OneDrive, and confirm delivery method (mail, pickup, or scan).
  •  Process approved vendor/PM payments by phone via AMEX and ensure receipts are collected and saved.

Accounting Reconciliation: 

  • Match weekly AMEX charges against entries, track down missing receipts, and maintain accurate receipt documentation in QuickBooks.

Construction Draws:

  • Enter owner draw invoices into Buildertrend  and Procore from the company draw spreadsheet — draw numbers, dates, line items, class codes, and amounts — and notify the team when complete
  • Prepare and submit draws through Built for Construction: reconcile paid items against the draw worksheet, compile backup PDFs of invoices/receipts, create QuickBooks invoices for Profit, Overhead, PM, and Superintendent costs, and upload and submit through Built.

 

Requirements

  • Proficiency in Microsoft Office, QuickBooks, Procore and BuilderTrend
  • Construction knowledge and experience

You will perform a variety of administrative tasks and ultimately, you will contribute to the efficiency of our business.
