Program Intern
The Program Intern / Program Assistant supports the Program Manager with the day-to-day administration and operation of Uptown Stories’ LEAPS afterschool programs. The position helps with maintaining student records, family communications, developing digital files, supplies, and organizing program documentation. The Program Assistant works across all program sites and assists with school, classroom, and event logistics as needed.
Key Responsibilities
- Maintain and oversee student rosters, attendance records, student profiles, authorized pickup information, and other program documents.
- Scan, upload, rename, format, and organize documents, photos, surveys, and student work for the annual anthology.
- Assist with administering SEL surveys and organizing, typing, and entering survey responses into our database.
- Organize and protect survey files and student records.
- Assist with exporting data from survey results when requested.
- Assist with registration, orientation, sharing/event reminders, and other family communications by phone, text, and email.
- Help prepare communications in English and Spanish when needed.
- Support community outreach, including distributing flyers and promoting Uptown Stories programs and events.
- Type, format, and organize student writing, artwork, artist bios, photographs, and other materials for folders, publications, exhibitions, performances, and sharings.
- Assist with family orientations, student sharings, celebrations, workshops, and other program events.
- Help maintain Google Calendars for program sites and staff, including updating invitations and communicating schedule changes.
- Assist the Program Manager with school visits, meetings, trainings, and special projects.
- Conduct research and prepare summaries or presentations on topics relevant to program needs when assigned.
- Maintain a daily task log and provide the Program Manager with an end-of-day update on completed and outstanding tasks.
- Maintain regular communication with staff through Slack throughout the workday.
- Complete assignments by agreed-upon deadlines and communicate early when a task may be delayed.
- Handle student and family information with care and confidentiality.
