As we continue to expand our footprint, we are seeking a dynamic, hands-on Regional Program Coordinator to lead program planning, elevate operational quality, and champion the participant experience across our Northeast region.

In this role, you will be instrumental in bridging high-level curriculum design with daily on-site execution. Shaping how our youth interact with technology, supporting dedicated instructors, and building strong, lasting relationships with our community partners. Role Overview

The Regional Program Coordinator is a dynamic, part-time leadership role responsible for program quality, development, and execution across YMCA sites in Rochester & Pittsford, NY and Westerly, RI.

This is not a passive administrative job or a pure coaching role. We need a proactive systems builder who can organize curriculum, train instructional staff, engage community partners, and step on-site when high-impact launches and events take place. This role blends hands-on leadership, program development, and logistics management to deliver high-quality, engaging experiences across all regional programs.

 

Key Responsibilities

  • Program Planning & Development: Develop, refine, and organize regional program offerings across esports, gaming, and STEAM/tech courses. Build and maintain program documentation, lesson plans, activity schedules, and skill progressions for all courses. Ensure full readiness, including equipment, software accounts, materials, and lesson plans, prior to launch.
  • Program Coordination & Execution: Coordinate instructors, schedules, and program logistics across sites. Lead programs directly when needed, support all phases of program success (planning, promotion, execution, and follow-up), and plan and execute weekly and monthly regional events.
  • Staff Guidance & Launch Support: Onboard, train, and prepare on-site instructors and program leads. Provide hands-on leadership during new program launches, flagship events, and new instructor onboarding, giving ongoing feedback to hold teams to high standards.
  • Experience & Engagement Strategy: Design and implement new engagement strategies, activities, and experiences during open hours to drive participation, foot traffic, repeat visits, and community retention.
  • Quality Assurance & Operations: Regularly monitor site delivery to ensure compliance with Metro’s safety, professionalism, and experience standards. Treat SOPs and program guides as living systems that constantly improve, and track technical or operational needs to maintain high-quality program delivery.
  • Reporting & Continuous Improvement: Track attendance, registration trends, and participant outcomes. Gather and analyze feedback from participants, families, staff, and YMCA partners to drive continuous improvement and report progress to leadership.
  • Community & Partner Collaboration: Act as a key liaison between staff, Metro leadership, and YMCA partners. Work closely with internal marketing teams and local tech/gaming communities to foster engagement, support local outreach, and drive program enrollment.

 

Qualifications & Experience

  • Experience: 2+ years of experience in youth programming, STEM education, esports/gaming programs, or community/nonprofit program coordination (YMCA experience is a plus).
  • Leadership & Communication: Strong organizational skills with a proven track record of managing moving parts, giving constructive feedback, managing logistics, and holding teams to high standards.
  • Program & Technical Aptitude: Ability to create structured lesson plans and familiar with gaming platforms, STEM concepts, or tech education tools.
  • Creative & Proactive Mindset: Able to operate independently, make decisions, and continuously develop fresh engagement ideas for youth programs.
  • Flexibility: Ability to work a flexible part-time schedule (15–25 hrs/week) combining remote planning with scheduled on-site support across regional locations.

  • Compensation: $20.00 – $40.00 per hour
  • Base Program Coordination: $20.00 / hour
  • Direct Program / Course Instruction: $25.00 – $40.00 / hour
  • Expected Hours: 15 – 25 hours per week (Part-time)
