POSITION SUMMARY
The Los Angeles Master Chorale seeks an Advancement Coordinator to support fundraising through effective database management, gift processing, reporting, and donor stewardship. As the Advancement team's primary Tessitura power user, this role ensures high standards of data integrity with donor records, contributions, pledges, and other fundraising activity. The Coordinator collaborates with colleagues across the Chorale to maintain seamless donor experiences and support fundraising campaigns, events, and donor recognition programs. The ideal candidate is highly detail-oriented, systems-minded, and passionate about using data and process improvements to advance the organization's mission.
ESSENTIAL RESPONSIBILITIES
CRM Administration (50%)
- Serve as the primary day-to-day Tessitura power user for the Advancement team, maintaining accurate, complete, and consistent donor and prospect information
- Accurately process charitable contributions, pledges, matching gifts, stock or donor-advised fund gifts, and other contributed revenue
- Assist with setup and maintenance of campaigns, funds, appeals, sources, memberships, donor programs, sponsorships, and fundraising events within Tessitura
Gift Administration & Advancement Operations (20%)
- Produce and distribute timely gift acknowledgments, tax receipts, pledge documentation, and donor correspondences
- Prepare regular contributed revenue, campaign, pledge, and fundraising performance reports
- Assist with tracking donor acquisition, renewal, retention, upgrading, and other fundraising metrics
- Support Advancement leadership with reliable data for revenue forecasting, campaign evaluation, and budgeting
Donor Stewardship (20%)
- Maintain donor recognition names and coordinate accurate recognition across performance programs, websites, annual reports, signage, and other print/digital platforms
- Respond promptly and professionally to donor questions regarding contributions, receipts, giving history, recognition, benefits, and account information
- Coordinate donor benefits and ticketing requests in partnership with Box Office
Communications & Events (10%)
- Collaborate with Marketing/Communications on donor-facing communications with focus on donor data accuracy and recognition
- Manage event-related data including invitations, RSVP tracking, attendance, guest lists, seating, and donor histories
- Attend selected performances, donor events, and fundraising activities (occasional evenings/weekends)
MINIMUM QUALIFICATIONS
- Bachelor's degree
- 2+ years of relevant experience in development operations, fundraising administration, donor services, CRM, financial processing, or comparable field
- Experience working with a fundraising, ticketing, membership, or constituent database
- Hands-on Tessitura experience strongly preferred (candidates with experience in other sophisticated fundraising/arts CRM systems who can learn complex systems are encouraged to apply)
- Experience entering and maintaining detailed constituent and financial records with high accuracy
- Familiarity with gift processing, donor acknowledgments, pledge management, donor records, and financial reconciliation (strongly preferred)
- Strong Microsoft 365 skills, particularly Excel, Word, Outlook, and Teams (intermediate Excel skills preferred)
- Donor-service orientation and ability to communicate professionally with donors, board members, colleagues, volunteers, and stakeholders
- Ability to work occasional evenings and weekends for performances and donor activities
