Sales Administrative Coordinator

Red Gate Farms | Savannah, Georgia
Full-Time | $50,000–$60,000 annually, depending on experience

Red Gate Farms is seeking an exceptionally organized, proactive, and dependable professional to join our team as a Venue Sales Administrative Coordinator.

This is an administrative support position within our sales department. The selected candidate will not be responsible for responding to new leads, conducting sales presentations, or closing sales. Instead, this person will provide the strong organizational and administrative support necessary to keep client records, contracts, payments, deadlines, and internal processes accurate and on track.

This position is ideal for someone who enjoys creating order, managing details, following established processes, and ensuring that important tasks do not fall through the cracks.

Primary Responsibilities

  • Maintain accurate and complete client records within our CRM and other business systems
  • Prepare and process contracts, amendments, proposals, invoices, and other client documents
  • Track signed contracts, payments, deadlines, insurance documents, and other required information
  • Maintain organized sales calendars, spreadsheets, reports, and digital files
  • Monitor outstanding administrative items and follow established procedures to ensure completion
  • Assist with scheduling appointments, meetings, and internal deadlines
  • Prepare materials and documentation for the sales team
  • Support administrative communication with booked clients as assigned
  • Coordinate the transfer of information between sales, event operations, accounting, and management
  • Review records for missing, incomplete, or inconsistent information
  • Compile sales activity, booking, payment, and pipeline reports for management
  • Help document and improve administrative procedures
  • Provide general administrative support to the sales department and management team

The Ideal Candidate

Our ideal candidate:

  • Is exceptionally organized, accurate, and detail-oriented
  • Takes ownership of responsibilities and follows tasks through to completion
  • Does not require constant reminders or close supervision
  • Can manage multiple priorities without losing track of important details
  • Has strong written communication and proofreading skills
  • Is comfortable working with contracts, payments, deadlines, and confidential information
  • Learns new systems and procedures quickly
  • Is proficient with email, calendars, spreadsheets, CRM platforms, and standard office technology
  • Recognizes missing information and proactively works to resolve administrative issues
  • Remains calm, professional, and solutions-focused in a fast-paced environment
  • Is dependable and willing to assist outside a narrowly defined job description when necessary

Previous experience in administration, executive support, contract administration, hospitality, events, CRM management, or sales support is strongly preferred. Formal higher education may substitute for previous experience. Wedding or event-industry experience is helpful but not required.

Compensation and Benefits

The anticipated salary will be $25 to $30 per hour so an annual range is approximatley $50,000–$60,000, depending on experience, qualifications, and demonstrated abilities.

Schedule:

The ideal candidate will be able to accommodate a flexible schedule to match desired appointment times of clients which sometimes need to be after 5pm and occasional weekend.
