Physical Therapy Administrative Assistant

Role: Physical Therapy Administrative Intern

Location: Jason Ferine Physical Therapy Inc. (JFPT) — 2300 Westwood Blvd. Ste 101, Los Angeles, CA 90064

Pay: $19.00 – $23.00 per hour (DOE) + Catch-Up Milestone Bonus

Commitment: 10 to 15 hours per week (Flexible scheduling between 9:00 AM – 5:00 PM, Monday–Friday)

 

Initial Training Requirement: Must be available to work Saturdays (09:00 AM – 2:00 PM) during the initial onboarding and training phase.

 

About the Role

Jason Ferine Physical Therapy (JFPT) is seeking a detail-oriented, highly organized, and proactive Physical Therapy Administrative Intern to join our clinical team. With our current senior scribe transitioning into Physical Therapy school, we need an administrative professional to take ownership of front-office workflows, patient communications, documentation management, and clinic readiness.

This is a high-impact, hybrid clinical/administrative role where you will manage essential office operations, assist with scheduling and document sorting, support our premium Sauna services, and directly assist our Licensed Physical Therapist during patient treatments.

 

Key Responsibilities

1. Practice Administration & Front Office

Patient Scheduling & Correspondence: Handle incoming patient calls, schedule treatment sessions, manage appointment reminders, and process co-pay collections or billing inquiries.

Document Management & E-Filing: Maintain strict document sorting compliance by scanning, filing, and labeling all incoming medical records, MD clearances, and intake forms into our shared drive using our mandatory e-filing naming convention.

Sauna Operations: Manage the end-to-end patient experience for our Infrared Sauna service—including scheduling, room setup, temperature pre-setting, sanitation, and resetting between sessions.

 

2. EMR Data Migration & Documentation Support

Data Transfer: Assist with transferring historical clinical SOAP notes and evaluation data from raw intake logs into our Electronic Medical Record system.

Data Integrity: Verify dates of service, billing CPT codes, and objective clinical metrics to maintain audit-proof chart compliance under HIPAA and Medicare guidelines.

 

3. Clinical Aide & Patient Care Support

In-Session Assistance: Assist the Licensed Physical Therapist during patient treatments by guiding patients through prescribed therapeutic exercise, positioning setup, and equipment assistance.

Facility Maintenance: Keep treatment tables, exercise bays, and therapy equipment clean, sanitized, and organized between 40-minute patient appointments.

 

Requirements & Qualifications

Availability: Flexible availability between 9:00 AM and 5:00 PM (Monday–Friday) for a total of 10 to 15 hours per week. Must be available to work Saturdays (09:00 AM – 2:00 PM) initially for dedicated administrative training and backlog clearing.

Technical Literacy: Fast learner capable of managing multi-tab workflows across modern EMR platforms, CRM systems, and applications for necessary clinical operation.

Administrative Precision: Exceptional attention to detail in file management, patient communication, and data entry.

Medical Terminology: Basic understanding of physical therapy abbreviations and SOAP note structure (ROM, MMT, CPT coding) is a major plus.

Typing Speed: Minimum 50+ WPM.

HIPAA Compliance: Must strictly adhere to federal/state privacy laws and execute a Business Associate/Confidentiality Agreement upon hire.

 

Preferred Applicants

Students currently enrolled in Pre-PT, Pre-Med, Healthcare Administration, or Kinesiology degree programs.

Future DPT/PTA applicants looking to earn valuable clinical contact hours, letter of recommendation opportunities, and hands-on exposure to an elite orthopedic physical therapy practice.
