Administrative Assistant
An Administrative Assistant provides essential administrative and organizational support to ensure the efficient operation of an office or department. The role involves managing schedules, preparing documents, coordinating communications, maintaining records, assisting customers and staff, and handling a variety of day-to-day office responsibilities.
Key Responsibilities
- Manage calendars, schedules, appointments, and meetings.
- Answer and direct phone calls, emails, and other correspondence.
- Prepare, format, and organize reports, documents, presentations, and spreadsheets.
- Maintain accurate files, records, databases, and confidential information.
- Perform data entry and update information in computer systems.
- Coordinate meetings, take notes, and distribute meeting materials.
- Process invoices, purchase orders, expense reports, and other administrative paperwork.
- Assist with customer, client, vendor, and employee inquiries.
- Order and maintain office supplies and equipment.
- Coordinate incoming and outgoing mail, packages, and correspondence.
- Support managers and team members with administrative projects and daily tasks.
Qualifications
- High school diploma or equivalent; additional education or training is a plus.
- Previous administrative, office, receptionist, or customer service experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office, Google Workspace, email, and office technology.
- Strong attention to detail and accuracy.
