Project Administration Intern

Title:

 

         Project Administration Intern 

 

Primary Function:

 

This position provides an opportunity to work closely with project managers, field professionals, contractors, and clients while developing practical skills in project administration, construction documentation, communication, and process improvement.

 

The ideal candidate is a strong communicator who is eager to learn, comfortable asking questions, able to adapt in a fast-paced environment, and willing to take an active role in supporting the team.

 

Reports To:

 

         Director of Production Coordination 

 

Responsibilities:

 

Field & Project Exposure

 

  • Receive training on commercial roofing, restoration, and paving field reports.
  • Participate in external and internal project meetings and follow-ups as appropriate.
  • Take detailed notes during meetings and other related project discussions.
  • Develop an understanding of the project lifecycle and the administrative processes that support successful project completion.

 

Project Documentation & Closeout

 

  • Assist with preparation and completion of final project reports and documentation.
  • Follow up with contractors regarding outstanding project items, documentation, and required information.
  • Assist with collecting and organizing warranties, guarantees, and other project closeout documentation.
  • Follow up with clients as needed to obtain information, provide updates, and ensure outstanding items are addressed.
  • Assist in coordinating and tracking final project requirements to help bring projects to successful closure.

 

Administrative & Process Improvement

 

  • Reformat and update internal templates and project documents to improve consistency and usability.
  • Assist with organizing and maintaining project documentation.
  • Identify opportunities to streamline administrative processes and improve efficiency.
  • Support the team with various administrative and project-related tasks as needed.

 

 

 

 

 

Education

 

Currently pursuing a degree in one of the following areas is preferred:

 

  • Business Administration
  • Construction Management
  • Civil or Construction Engineering
  • Engineering
  • Project Management
  • Related field
  •  

Students pursuing other degrees with a strong interest in project administration, construction, or commercial roofing may also be considered.

 

Schedule & Work Environment

 

  • Part-time internship.
  • Preferred availability: Mondays, Wednesdays, and Thursdays
  • Schedule is flexible and can be discussed based on the candidate's availability and academic schedule.
  • This is an in-office position. Remote and hybrid work options are not currently available.

 

Travel Percentage:

 

  • Potential local travel opportunities for project training and development.
