Tax Operations Manager, Physician Tax (Fully Remote)
We're the fastest-growing tax firm in the physician space, and we're hiring a Tax Operations Manager to keep the whole machine running on time. If you're the person who keeps the list, closes the loop, and knows what's slipping before anyone else does, this is that role.
Why this job is different
This isn't a tax prep job with "operations" in the title. You won't prepare or review a single return. Our Tax Managers and Tax Seniors handle the technical work, and your job is to make sure it moves: every return, every quarterly estimate, every extension tracked from intake to filing, with nothing stuck and nothing late.
You'll have real ownership. You run the firm's production calendar, you run the weekly pipeline reviews, and when a deadline is at risk you're the one who already has a plan. You're not taking tickets from someone else's board. You own the board.
And you don't need a tax background to do it. Experience at a CPA or tax firm helps, but strong project management instincts matter more. Recent college graduates are welcome and encouraged to apply.
It's fully remote. Work from anywhere in the US.
What you'll do
You'll own the operating rhythm of the firm. That means tracking every individual and business return, estimate, and extension in our project management boards and keeping those boards accurate. It means chasing what's open: missing client documents, unsigned e-file authorizations, unanswered questions, review bottlenecks. It means running weekly pipeline reviews with the Tax Managers, flagging what's trending late, and reporting throughput and turnaround times to leadership with a recommendation attached, not just a number.
You'll also build the checklists, workflows, and standard procedures that keep quality consistent as we add pods, and you'll coordinate handoffs across tax, bookkeeping, and payroll so nothing falls between teams. You'll report to Mark Applegate, our COO.
Outside of filing season this is a standard 40-hour week. During tax season (roughly February through April, and again in September and October) expect 60 to 70 hours a week. We're upfront about that because it's real, and we'd rather you know now.
What we're looking for
- Strong project management instincts. You keep lists, you follow up without being asked, and you're comfortable holding people to dates
- Clear, direct written communication. Most of this job happens in chat, email, and task comments
- Comfort with software. We run on Monday.com, TaxDome, Google Workspace, and ProConnect, and we expect you to become a power user of each
- Experience at a CPA or tax firm is a plus, not a requirement. If you haven't worked in tax, we'll teach you the calendar
- Recent graduates are welcome. We care more about how you operate than how many years you have

Compensation and details
Full-time, W-2. Salary range of $50,000 to $65,000 depending on experience. Fully remote within the United States; you must be authorized to work in the US without sponsorship.
