Saboo, Inc. is a small general construction company specializing in public works, commercial, and industrial construction projects. We are seeking a dependable, detail-oriented, and highly organized Project Support Coordinator to support our construction projects and daily business operations.
This is primarily an in-office position with occasional driving to jobsites, client offices, and public agencies. The ideal candidate has excellent people skills, a friendly demeanor, a positive attitude, and the ability to work professionally with clients, subcontractors, vendors, employees, and government representatives.

Position Summary
The Project Support Coordinator will provide administrative and operational support for construction projects from preconstruction through project closeout. The position involves project documentation, labor compliance, payroll support, invoicing, insurance coordination, bid preparation, deadline tracking, and communication with clients and project participants.
The successful candidate will be comfortable handling multiple priorities, maintaining accurate records, following up on outstanding items, and helping the company’s projects and office operations run efficiently.
Primary Responsibilities
Project Coordination and Documentation
Create, organize, distribute, and track project documents.
Prepare and maintain RFIs, submittals, change orders, contracts, meeting minutes, correspondence, and project logs.
Enter and update project information in Procore and other company systems.
Track project deadlines, outstanding documents, approvals, and action items.
Assist project managers with scheduling, budget tracking, cost documentation, and project reporting.
Maintain organized electronic and physical project files.
Coordinate documentation among project managers, superintendents, owners, architects, inspectors, subcontractors, and vendors.
Assist with project startup, progress documentation, and closeout requirements.
Help collect warranties, operation and maintenance manuals, releases, as-built documents, and final project records.
Public Works and Labor Compliance
Assist with certified payroll preparation, review, tracking, and submission.
Collect and verify subcontractor labor-compliance documentation.
Help maintain prevailing-wage records and required public works documentation.
Track apprenticeship, fringe-benefit, payroll, and workforce-compliance requirements.
Follow up with subcontractors regarding missing, late, or incomplete compliance documents.
Maintain accurate records for possible agency reviews and audits.
Assist with submissions to the California Department of Industrial Relations and other public agencies.
Payroll and Administrative Support
Collect and verify employee timecards and hours.
Organize weekly payroll information for timely processing.
Maintain employee and subcontractor records.
Assist with processing invoices, purchase orders, receipts, and expense reports.
Review documents for completeness and route them to the correct parties for approval.
Maintain calendars, schedules, contact lists, and internal tracking systems.
Support general office administration and daily business operations.
Insurance and Contract Coordination
Request, collect, review, and track certificates of insurance.
Follow up with subcontractors and vendors regarding expired or incomplete insurance documents.
Maintain subcontractor contracts, purchase orders, and contractual records.
Assist with preparing and distributing agreements and contract documents.
Track signatures, insurance requirements, licenses, and other required documentation.
Estimating and Bid Support
Assist with public works and commercial bid proposals.
Download and organize plans, specifications, addenda, and bid documents.
Help solicit and track subcontractor and supplier proposals.
Prepare bid lists, proposal forms, qualification packages, and supporting documents.
Track bid deadlines and confirm that required documents are submitted on time.
Assist with organizing pricing information and bid comparisons.
Support preconstruction and project setup activities.
Client and Team Communication
Communicate professionally with clients, agencies, subcontractors, suppliers, and employees.
Answer and route telephone calls and email correspondence.
Follow up on missing information, approvals, signatures, and overdue documents.
Help coordinate meetings, inspections, deliveries, and project activities.
Represent Saboo, Inc. with professionalism, courtesy, and a positive attitude.
Build cooperative working relationships with both office and field personnel.

Preferred Qualifications
Experience supporting public works, commercial construction, or general contracting operations.
Experience using Procore or similar construction-management software.
Familiarity with RFIs, submittals, change orders, contracts, and project closeout documents.
Experience with invoicing, payroll support, certified payroll, or labor-compliance documentation.
Familiarity with prevailing-wage and California public works requirements.
Experience coordinating certificates of insurance and subcontractor documentation.
Experience assisting with construction bids, proposals, or estimating.
Education or training in Construction Management, Business Administration, Accounting, Project Management, or a related field.
Training may be provided to a motivated candidate who has strong administrative skills and a genuine interest in construction project management and public works compliance.
