We are seeking a responsible, dependable, trustworthy, and professional Assistant Project Manager/Project Coordinator. This is an excellent opportunity for a current college student completing a degree or certificate in Construction Management, Engineering, Architecture, or a related field—or a recent graduate seeking an entry-level career in general construction.

We will provide training, mentorship, and practical, hands-on experience in public works construction.

Position Summary

The Assistant Project Manager/Project Coordinator will support our project managers and field personnel in coordinating construction projects and maintaining the documentation, schedules, contracts, purchasing, payroll records, and administrative systems required for successful project completion.

The selected candidate will gain experience in both project management and project engineering responsibilities. Duties will initially be performed under the direction of an experienced project manager and may expand as the employee develops.

Primary Responsibilities

Prepare, update, track, and distribute RFIs, submittals, contracts, change orders, shop drawings, and other project documents.

Maintain organized and accurate electronic and physical project files.

Assist with project scheduling, cost tracking, procurement, estimating, and budget management.

Track subcontractor submittals, insurance documents, licenses, contracts, and compliance paperwork.

Help prepare subcontract bid packages and solicit subcontractor and supplier proposals.

Compare bids and assist with negotiating cost-effective subcontractor and material purchases.

Support timely subcontractor buyout, shop-drawing approval, and material delivery.

Communicate professionally with owners, architects, engineers, inspectors, subcontractors, suppliers, and public agencies.

Assist the project manager and superintendent with jobsite coordination and safety documentation.

Review project requirements and help monitor compliance with contract terms.

Document important project events, including delays, accidents, field conditions, change orders, and potential claims.

Prepare timely and accurate internal project reports.

Organize and participate in project, management, and subcontractor meetings.

Prepare meeting agendas, take meeting minutes, and follow up on outstanding action items.

Assist with preconstruction activities and public works bid preparation.

Support estimating staff with quantity takeoffs, pricing, bid items, and proposal documentation.

Help monitor project quality, deadlines, and contract requirements.

Assist with resolving project issues and reducing delays, claims, and conflicts.

Complete project closeout documentation, including warranties, manuals, releases, and final records.

Assist with one-year warranty inspections and follow-up work.

Perform other project-related responsibilities as assigned.

Payroll and Compliance Responsibilities

Verify employee hours and maintain accurate timekeeping records.

Collect and review subcontractor payroll and compliance documentation.

Submit weekly payroll information so employee checks can be processed on time.

Assist with preparing and submitting certified payroll reports to the California Department of Industrial Relations and Division of Labor Standards Enforcement.

Help maintain prevailing-wage and public works compliance records.

Follow up with subcontractors regarding missing or incomplete documents.

Preferred Qualifications

Currently pursuing or recently completed a degree or certificate in Construction Management, Civil Engineering, Architecture, or a related field.

Candidates with equivalent construction experience are also encouraged to apply.

Interest in commercial, industrial, and public works construction.

Construction office or field experience is helpful but not required.

Strong organizational, communication, and problem-solving skills.

Professional judgment, integrity, dependability, and attention to detail.

Ability to prioritize responsibilities and respond to time-sensitive project needs.

Comfortable communicating with project managers, field personnel, subcontractors, vendors, and public agencies.

Proficiency with Microsoft Word, Excel, Outlook, and general computer applications.

Experience with construction drawings, specifications, estimating, scheduling, or project-management software is helpful.

Basic drafting or plan-reading skills are a plus.

Familiarity with construction contracts, project accounting, cost control, procurement, or certified payroll is helpful but not required.

Willingness to learn and accept increasing responsibility.
