Estate Planning Legal Assistant - Part Time
Legal Assistant (Trusts & Estates) – Part-Time Kalib & Kalib, a small trusts and estates law firm on the Upper West Side, is seeking an exceptionally detail-oriented and organized part-time legal assistant. We offer a flexible schedule and a professional office environment in a convenient, accessible Upper West Side location. This is an in-person role. Given the significant amount of training we provide, we are looking for someone seeking a multi-year role — we ask that candidates be able to commit to at least two years.
Key Responsibilities
• Assist with the organization, meticulous preparation, and proofreading of estate planning documents (wills, trusts, powers of attorney, health care directives, etc.).
• Gather client information, draft letters of instruction and communicate with financial institutions and advisors, and complete the forms required to change the title on client accounts.
• Draft and proofread professional business letters, client emails, and other correspondence with accuracy.
• Maintain digital and physical client files (scanning, organizing, archiving) and handle general administrative tasks to support smooth office operations.
• Attend client meetings when documents are signed, assist with signing process.
Requirements
• Critical requirement: expert-level proofreading, grammar, and writing skills with a proven high aptitude for spotting and eliminating errors.
• Prior experience as a legal assistant, paralegal, or in a similar role is preferred but not required; knowledge of trusts & estates, estate administration, or financial planning very welcome. • Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
• Ability to handle sensitive and confidential matters with the utmost discretion and professionalism.
• Self-starter who manages time effectively, works well independently, and performs reliably under occasional pressure.
• Comfortable in a client-facing legal setting when needed.
Nice-to-Haves
• Notary public commission (strong plus; we can discuss reimbursement for renewal if applicable).
• Experience drafting client correspondence or letters of instruction.
Schedule & Compensation
• Approximately 8–18 hours per week, with flexible scheduling (core business hours preferred).
• Hourly compensation in the $20–$38 range, commensurate with relevant experience and skills (e.g., estate planning document preparation, client correspondence, trust funding coordination, and precision proofreading).
