Our growing real estate and corporate law firm is seeking a driven, highly organized, and detail-oriented individual to join our transactional team as a Legal Administrative Assistant.
This is an exceptional opportunity for a recent college graduate or early-career professional with an interest in real estate who wants to build a meaningful career in the legal industry. The position offers direct mentorship from a Partner of the firm, hands-on exposure to sophisticated real estate transactions, and a clear path for professional advancement.
Unlike a traditional administrative position, this role is designed to provide exposure to the entire lifecycle of a real estate transaction. You will work directly with a Partner, attorneys, and experienced transactional paralegals while learning the legal, title, lending, and closing components of real estate transactions.
For a high-performing candidate, there is significant opportunity for advancement, including the ability to grow into a Transactional Paralegal position and take on increasingly sophisticated responsibilities within the firm's real estate practice.
Key Responsibilities
Work directly with and provide support to a Partner of the firm and the transactional legal team
Assist with real estate transactions from initial intake through closing and post-closing
Draft correspondence and other legal and administrative documents
Prepare and review intake information for accuracy and completeness
Assist with the preparation and organization of loan and closing documents
Draft and send professional client communications
Organize, PDF, and upload loan packages and legal documents for review
Open, organize, and maintain transactional files
Review executed closing packages for accuracy and completeness
Enter and maintain transaction data in Excel and Quickbase
Confirm and track wire instructions and closing requirements
Monitor post-closing matters and follow up on outstanding items
Track deadlines and assist attorneys and paralegals with keeping transactions moving efficiently
Communicate professionally with clients, title companies, lenders, attorneys, and other transaction participants
Provide additional administrative and transactional support as needed
Qualifications
Bachelor's Degree required
Strong interest in real estate, transactional law, business, or the legal industry
Excellent written and verbal communication skills
Exceptional attention to detail
Strong organizational and time-management abilities
Ability to multitask and prioritize in a fast-paced, deadline-driven environment
Proficiency in Microsoft Office and Adobe Acrobat
Professional, polished, and comfortable communicating with clients
Proactive and eager to learn
Strong work ethic and desire to build a long-term professional career
Prior law firm experience is not required. We are looking for someone with the intelligence, work ethic, attention to detail, and initiative to learn the business and grow with our firm.
