Oversee daily office and retail operations to ensure elevated client experience and smooth workflow across all departments. Manage scheduling, vendor relationships, inventory coordination, and office organization with strong attention to detail. Support sales staff and leadership team with operational efficiency, reporting, and administrative tasks. Maintain a polished, professional environment that reflects the luxury standards of the brand. Handle client communications with discretion, warmth, and exceptional customer service. Coordinate team logistics, meetings, onboarding materials, and internal processes.

Ideal candidate is highly organized, proactive, dependable, and comfortable in a fast-paced luxury setting.

Job Description

The ideal candidate will be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanor so they can effectively interact with office visitors and interview candidates.

Responsibilities

  • Provide high-level administrative and personal support to executive leadership with professionalism and discretion
  • Manage complex calendars, appointments, travel arrangements, and day-to-day scheduling priorities
  • Coordinate communications, follow-ups, and confidential correspondence on behalf of the executive
  • Assist with personal errands, event coordination, and lifestyle management as needed
  • Attend networking events, business functions, and select social engagements alongside the owner, representing the brand with professionalism and confidence
  • Anticipate needs proactively and solve problems quickly with minimal supervision

Qualifications

  • Excellent written, verbal, and computer skills, with the ability to communicate professionally across clients, vendors, and executive leadership
  • Strong organizational and multitasking abilities with exceptional attention to detail
  • Ability to maintain confidentiality and handle sensitive business and personal matters with discretion
  • Comfortable working in a fast-paced luxury environment with high standards of professionalism

Education

Bachelor's (Preferred)

Experience

  • Retail management: 3 years (Required)
  • Aesthetics: 3 years (Preferred)
